DRM is seeking a skilled, proactive, and detail-oriented Executive Assistant to provide administrative support to the Executive Team at our corporate office in Omaha, NE. This is an exciting opportunity for a motivated, team-oriented professional to thrive in a fast-paced environment.

Position

DRM is looking for a person that has experience providing office support for all levels as well as lease document management and administration experience.

An Associate's Degree or Bachelor's Degree in Business, Real Estate, Finance or related field is preferred. 1-3 years' administrative experience, lease administration, property management or relevant experience is preferred.

A qualified candidate must also be a strong team player and proficient in Microsoft Office products, Microsoft Outlook, proficient in Excel and excellent communication skills. The essential job duties include but are not limited to:

* Office coordination and organization: Assist with organizing and maintaining corporate documents. Assist executive team and team members with projects, communication and expense report / document management.

* Calendar and schedule management: Coordinate and manage calendars for executive team and/or team members. Schedule and organize meetings, appointments, and travel arrangements, ensuring all logistics are in place. Prepare meeting agendas, take meeting notes, and follow up on action items as required.

* Communication and correspondence: Answer phone calls, emails, and other inquiries. Prepare, proofread, and send correspondence, including letters, memos, and emails maintaining a professional tone.

* Lease document management: review, organize, and maintain lease documents for all properties in the portfolio. Ensure all lease agreements, amendments, and related correspondence properly filed and easily accessible. Track lease terms, renewal dates, rent escalations, and key dates (e.g., termination options, rent review periods).

* Lease administration and compliance: Ensure timely execution of lease renewals, amendments, and terminations. Review lease terms for compliance and report discrepancies or issues to management. Monitor & track lease obligations for both tenants and landlords, ensuring compliance with agreed terms and conditions.

* Rent and Payment Management: Coordinate with accounting to ensure accurate billing and payment of rent, CAM (Common Area Maintenance) charges, property taxes, and other lease-related expenses. Monitor and manage the payment schedule for rent increases, renewals, and other fees outlined in lease agreements.

* Lease renewals and negotiations: Assist in the preparation of lease renewal proposals and coordinate negotiations with tenants and landlords. Ensure lease renewal deadlines are met to avoid lapsing agreements.

* Lease audit support: Assist with internal and external audits of lease agreements, rent payments, and compliance.

* Franchise License Agreement management: review, organize, and maintain franchise license agreement documents. Ensure agreements, amendments, and related correspondence properly filed and easily accessible. Track key dates for franchise license agreements.

* Systems and database management: Maintain and update the lease management system/database with accurate lease data and inquiries. Ensure all lease information is current and up to date, including renewal dates, rent escalations, and other key terms.

* Perform other related duties as required and assigned by management.

* This position is required to report to the corporate office for daily scheduled work and will report directly to the Chief Executive Officer (CEO).
