We optimize the entire member experience through service offerings such as utilization management, care management, and an aging in place product suite focused on better health outcomes.We are currently seeking a talented Executive Assistant to provide high-level administrative support to Senior Executives and manage the administrative duties of our Sagility Corporate Office located in Westminster, CO. This is a hybrid role, with the option to work from home when duties are not required at the office, approximately 50% from home, 50% onsite. Roles & Responsibilities:
  • Manage the executive's calendar, including making appointments and prioritizing the most sensitive matters
  • Act as the main point of contact for all internal and external stakeholders on behalf of the executives.
  • Organize and arrange for staff members to represent Sagility at meetings and conferences, including international travel arrangements and expense management.
  • Coordinate and help plan special projects, and other internal/external initiatives.
  • Support executives in staff capacity by handling a wide variety of situations involving the administrative functions of the office that cannot be brought to the attention of the executive.
  • Advise individuals inside and outside the organization on executive views on major policies or current issues facing the organization.
  • Contact or reply to contacts from high-ranking individuals who may be from large national or international firms and may involve unique situations, and each contact must be handled differently, using judgment and discretion.
  • Act as the main point of contact and manage the Sagility Corporate Office administrative needs, including but not limited to processing and scanning incoming mail, assisting the finance and tax departments for timely filings, and handling outgoing mail.
  • Organize and lead the preparation of meetings, including virtual, off-site and on-site, scheduling, sending reminders, and organizing catering when necessary. Summarize meeting notes and prepare them for submission to the board of directors.
  • Be onsite as needed to welcome and manage visitors and onsite meetings.
  • Extract key data into executive reports and summary format(s)
  • Manages all Environment, Social and Governance (ESG) information, attends ESG Committee meetings as the Westminster location representative, has authority to make recommendations, develop and manage annual ESG initiative goals for the Westminster location.
  • Note commitments made by executives during meetings and arrangements for staff implementation.
  • In executive's absence, ensures that requests for action or information are relayed to the appropriate staff member.
  • Interprets requests, helps implement action, and decides whether executives should be notified of important or emergency matters as needed.
  • Analyze and assist with operating practices, such as record keeping systems, forms control, office layout, suggestion systems, personnel and budgetary requirements, and performance standards to create new systems or revise established procedures.
  • Prepare reports including conclusions and recommendations for solutions of operational and administrative challenges.
  • Serves as main point of contact for facility and works collaboratively with building management.
  • Issues and interprets operating policies.
  • Coordinates collection and preparation of operating reports, such as budget expenditures, and statistical records of performance data.
  • May compose and sign correspondence for executive.
  • May serve as the executive's representative at meetings and express the executive's viewpoints at such meetings.
Essential Requirements and Skills:
  • Bachelor's degree
  • Four or more years of prior experience in supporting a senior executive or team
  • Current Colorado Notary
  • Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, Teams and Excel)
  • Exceptional writing, editing, and proofreading skills
  • Excellent organization and time-management skills
  • A detail-oriented self-starter with the ability to work alone in an office setting
  • Someone who exhibits sound judgment with the ability to prioritize and make decisions
  • Energetic and eager to tackle new projects and ideas
  • Comfortable interacting with high-level executives
  • A team player capable of cultivating productive working relationships across the firm
  • Resourceful, can-do attitude
  • Thrives in a fast-paced environment
