Posting Number: S0633 Classification Title: Executive Assistant Overall Position Competency: Advanced Working Title: Executive Assistant Position Number: 001042 FLSA: Non-Exempt NC Salary Grade Equivalency: GN12 (For employment/re-employment priority purposes only) Recruitment Range: $60,000-$70,000 Position Summary: The Executive Assistant provides high-level administrative support to the Provost and Executive Vice Chancellor for Academic Affairs in a variety of assignments. She/he will work independently, and must be exceedingly well organized, flexible and possess the ability to work in a fast-paced environment with a high level of professionalism. Responsibilities of this position include: Manage daily administration and oversight of the Provosts office, including confidential and time-sensitive information. Prioritize daily schedule and other issues for the Provost and Executive Vice Chancellor for Academic Affairs. This includes calendar management, preparation of materials for meetings, and providing status updates regarding ongoing issues or questions. Intercept problems or queries when appropriate, investigate and develop informed judgments, and then see matters through to resolution or arrange for the appropriate referral. Coordinate the development and management of Academic Affairs initiatives, events, special programs and projects. Project manage key processes on behalf of the University, including budget, personnel and more, always in compliance with University, System, State and Federal policies. Ensures proper materials and documents are prepared for key stakeholders: the Board of Trustees, UNC System. Takes initiative to ensure key deadlines are met. This position must work in a collegial manner with executive leadership, faculty, staff, students, and outside constituents to ensure smooth and cohesive operations within Academic Affairs and other areas of campus according to the goals and mission of the University. Responsibilities include highly confidential and complex assignments requiring exposure to sensitive information. Considerable discretion, judgment, diplomacy, and consistent application of institutional practices and procedures are imperative for success in this role. Division: Academic Affairs Department: Office of the Provost Full-Time / Part- Time: Full-Time Months per Year: 12 Months Time Limited Position: No If time-limited, length of assignment: Not Applicable Minimum Education/Experience/Skills: High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associates degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience; or Bachelors degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. Preferred Education/Experience/Skills: Three to six years of administrative assistant experience, preferably in higher education or corporate management. Prior administrative experience supporting a senior level leader in a higher education setting would be highly desired. Demonstrated budget management experience. Ability to manage multiple projects. Strong written, verbal, and interpersonal skills. Highly computer literate and comfortable with acquiring new skills, with specific in-depth proficiency in the MS Office Suite, web-based systems, and website maintenance. Excellent calendar management skills, including the coordination of complex executive meetings is desired. Ability to exercise independent judgment, sensitivity, and confidentiality in performing administrative support functions. Work Schedule and Hours: Typical work schedule is Monday-Friday from 8:00 a.m. to 5:00 p.m. Additional hours may be needed on evenings and weekends to meet the needs of the Provost and the University.
