This Role is Part Time Position: 3 days a week, The days are flexible Job Summary: Provides direct administrative support to the Chief Executive Officer and the Executive Team. Utilizes independent judgment and initiative to successfully perform diverse and complex assignments at an advanced administrative skill level. Essential Duties and Responsibilities: • Prepares and reviews confidential and sensitive material requiring a high level of judgment & discretion. • Takes appropriate authorized action in the absence of the CEO and Executive Management to ensure that matters requiring attention are referred to and handled in the most expeditious and beneficial manner. • Acts as liaison between visitors, other executives and staff in matters involving scheduling and coordinating meetings, documentation, and other activities requiring authorized action. • Receives and screens communications to the CEO and Executive Management, including telephone calls and email messages, using independent judgment to determine priority of attention. • Responds to inquiries from external and internal clients; escalating issues as appropriate. • Coordinates travel arrangements for the CEO, Senior Management, Board Members, employees and guests to include both national and international travel. • Oversees all office administrative management functions to include purchasing, vendor management, and expense control. • Trains and supervises designated administrative assistants and other support staff, as needed. • Recommends and implements changes in office management practices and procedures, as needed. • May perform special projects and other duties and responsibilities as assigned. • Communicates with co-workers, management, clients, vendors, and others as needed in a courteous and professional manner. • Maintains the integrity of the company and products offered by complying with federal and state regulations as well as company policies and procedures. Job Qualifications: • Minimum of 1+ years of experience assisting at the executive level in a fast-paced environment. • High school diploma or equivalent required. • Advanced knowledge and skill level in Microsoft Office Products including Word, Excel, PowerPoint, and Outlook. • Exceptional written and verbal communication skills. • Superior planning, time management, multi-tasking, and organizational skills. • Self-directed and able to work under minimal supervision where confidentiality, advanced judgment, and problem solving are required. • Ability to exercise considerable professionalism, discretion, and independent judgment in facilitating overall department operations.
