Job Description:

SALARY: $25.00-$33.00/Hour.

REPORTS TO: Chief Executive Officer (CEO)

AREA OF RESPONSIBILITY: Responsible for providing high-level administrative support for Chief Executive Officer (CEO), Chief Operations Officer (COO) and other Executive team members; assisting with daily activities and projects to ensure efficient completion of key tasks and company initiatives. Responsible for managing the schedules and communications of Executive team members, attending meetings, and taking meeting minutes as directed.

QUALIFICATIONS: High school diploma or equivalent, or at minimum 3 years of directly related work experience. 2-4 years of college education desired. Computer knowledge and experience. Must have strong communication skills, both written and verbal. Must be able to function with minimal direction and supervision. Must maintain confidentiality relating to MVHC personnel, patients, and information which could result in proprietary damage to MVHC. Must possess current valid California or Oregon driver's license and auto liability insurance.

REQUIREMENTS AFTER HIRE:

Obtain current CPR card.

Clean and appropriate business attire.

DUTIES AND RESPONSIBILITES:

Work directly with the CEO and other executive team members to support all aspects of their daily work routines.

Manage Executive team members' calendars, including scheduling meetings and appointments, travel arrangements, and prioritizing the most sensitive matters. Exercise discretion in committing time and evaluating needs.

Organize and prepare for meetings, including scheduling, preparing agendas and necessary documents, sending reminders, and organizing catering when necessary.

Provide administrative support, such as drafting, editing, and sending emails and other communications on the executive's behalf. Answer and respond to phone calls in a professional manner.

Compose and prepare letters and other related routine correspondence for Executive team members.

Assist with the development of presentations for internal and external audiences.

Photocopy, fax, email, electronically file, and distribute documents as requested. Maintain comprehensive and accurate records.

Perform minor payroll duties as directed.

Track employee changes & perform real-time updates to MVHC organization charts.

Audit employed provider, contract provider, and locum provider schedules as directed.

Attend leadership team meetings, management team meetings, committee meetings, and monthly Board of Directors meetings, and others as requested; taking minutes as directed.

Draft documents including but not limited to contracts, agreements, MOU's, letters of recommendation, letters of support, notices to staff, correspondence with other entities, etc.

Develop and distribute surveys to staff and patients as directed. Review and format survey results into reports, presentations, etc.

Review invoices for accuracy, dispute discrepancies, and redact sensitive information as needed.

Shows initiative and works well independently to improve and maintain all customer relations and satisfaction.

Other additional and/or alternative duties as assigned, including supporting other departments or staff members as needed.

PHYSICAL REQUIREMENTS: Sitting, standing, walking, bending/stooping, squatting/crouching, climbing, balancing, reaching, twisting/turning, pulling, stand up lifting to 30 pounds, speaking/hearing on phone and in person, reading, writing, close eye work, repetitive motion of hands, fine and gross manipulation, up/down and side/side hand motion, working with others, exposure to public/staff/physicians, fast work pace, frequent change, and frequent interruptions.
