The Executive Assistant functions as the key administrative support person in the management, coordination, and implementation of operations. The Executive Assistant will provide general support and assistance to supporting a team of Managing and Senior Directors based in New York City related to invoicing, client engagement matters, department activities, and personnel matters. This position requires a hybrid schedule of at least 3 days in-office per week. Responsibilities: Help prepare monthly client invoices and administrative materials for internal practice meetings. Perform internal administrative tasks for client projects, such as drafting conflict checks, setting up and closing project codes. Submit expense reports through Concur andreconcilecorporate credit card statements. Coordinate and book travel plans, including airlines, hotels, and car service. Arrange in-office meals for clients and internal meetings. Coordinate calendars to ensure conflicts are avoided and scheduled events are respected. Work closely with the staff to keep the team well informed of upcoming commitments and responsibilities, following up as appropriate. Research, prioritize, and follow up on incoming issues and concerns addressed to determine appropriate course of action. Provide a bridge for smooth communication between internal and external groups as well as guidance to additional support personnel. Schedule and organize meetings, conference calls, events, and other departmental activities. Assist with department activities/projects as needed and perform other work-related duties as assigned. Qualifications: A Bachelors' Degree in relevant field of study (degree in business-related field a plus) is preferred but not required. 3 years of Executive Administrative Associate or Executive Assistant in consulting, professional services, accounting, or a law firm. Feels comfortable with preparing client invoices, completing expense reports, and reconciling credit card statements. Highly proficient with Microsoft Office Suite. Key Skills and Competencies Understands the importance of strict confidentiality of internal/personnel affairs/client information. Ability and desire to learn and develop new skills. Basic knowledge of accounting and financial principles a plus. Excellent oral and written communication skills. Impeccable attention to detail and self-review and strong follow-up skills. Demonstrates ownership and accuracy of work product. Must work efficiently and be able to meet deadlines; strong time management skills; prompt reliable service. A self-starter who can multi-task and support multiple people with varied personalities. Ability to work independently, as well as on a team, in a fast-paced environment. Able to interact effectively and professionally with clients and all levels of firm personnel. Willingness to be coached / desire and capacity for growth / positive teaming attitude. Flexibility to work additional hours as required in the office and remotely. Full-time Positions and Part-time Positions Over 30 hours Regular employees working 30 or more hours per week are also entitled to participate in Alvarez and Marsal Holdings' fringe benefits consisting of healthcare plans, flexible spending and savings accounts, life, ADandD, and disability coverages at rates determined from time to time as well as a 401(k)-retirement plan. Additionally, employees are eligible for paid time off including vacation, personal days, seventy-two (72) hours of sick time (prorated for part time employees), ten federal holidays, one floating holiday, and parental leave. The salary range is $75,000 - $85,000 annually, dependent on several variables including but not limited to education, experience, skills, and geography. In addition, AandM offers a discretionary bonus program which is based on a number of factors, including individual and firm performance.
