What You'll Do
As the Executive Assistant for Administrative Services, you'll play a key role in planning, initiating and implementing office administration and office management within the Office of the Vice President of Administrative Services. You'll have the chance to:
* Collaborate on high impact projects that improve operations within the College specific to Administrative Services.
* Contribute to campus-wide initiatives related to risk management and business operations.
Day-to-day, you'll be responsible for:
* Serving as a member of the Vice President for Administrative Services support team. Providing administrative support for the Vice President and Division of Administrative Services. Serving s as the primary point of contact for the internal and external constituencies. Assisting persons who have appointments with the Vice President, ensures timeliness of appointments and projects. Serving in a gatekeeper and gateway role to provide a bridge for smooth communication and ease of access to Vice President for Administrative Services. Completing special projects for the Vice President.
* Performing administrative tasks and meeting support as assigned by the Vice President which includes managing calendar, coordinating travel, preparing meeting documents, developing correspondence, copying/scanning, creating meeting agendas, scribing minutes, drafting contracts, distributing information, and other similar tasks as assigned.
* Serving as the Division's point of contact for assistance and other service-related requests to the campus. Maintaining and submitting all required personnel reports and forms, prepare purchase requisitions, processes departmental invoices, and contracts. Reviewing and preparing all College contracts/agreements for Vice President approval. Tracking and maintaining records of all College endorsed contracts and agreements.
* Coordinating with the Vice President for Administrative Services to plan, implement and assist with the facilitation of the Administrative Effectiveness Committee Meetings. Recording meeting minutes as required. Managing committee documents on the Microsoft Teams site.
* Maintaining confidentiality regarding all correspondence and communications related to services provided by the Equity Office.? Assisting the Equity Officer with the College's equity and Title IX efforts, including assistance with development, implementation, and monitoring of appropriate trainings, policies, and procedures designed to comply with federal and state rule, regulation, and law.
Who We're Looking For
We're seeking a candidate who brings not only technical expertise but also a passion for education and student success. Our ideal candidate will have:
* A bachelor's degree from an accredited college or university and two (2) years of responsible administrative work in an educational institution or in a comparable professional environment. Experience beyond two years as an executive level assistant in an educational or corporate enterprise may be substituted for up to two years of the educational requirement.?A combination of education may substitute for the required experience.
* Skill in written and verbal communication, organizational skills and problem solving.
