Executive AssistantTri-Pac, Inc., a contract development and manufacturing company (CDMO) specializing in liquid and aerosol filling for personal care and pharmaceutical marketers, is seeking an experienced Executive Assistant for immediate addition to our fast-growing team. The position is in South Bend, Indiana.
Executive Administrative Assistant Duties- Handle all administrative tasks associated with the Senior Management
- Manage high volume email and prioritize items that require immediate attention.
- Review and prepare all matters that require Directors' review and approval.
- Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings.
- Compile, transcribe, and distribute minutes of meetings.
- Create complex and detailed reports ensuring accuracy.
- Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.
- Prioritize incoming issues while maintaining strict confidentiality.
- Perform general office systems such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
- Ensure information is available to support decision making.
- Develop and maintain strong working relationships with internal and external stakeholders.
- Greet visitors and determine whether they should be given access to specific individuals.
- Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.
- Special projects
- Other duties as assigned.
Requirements- Bachelor's degree required in Business Administration, Accounting or Science
- Master's degree preferred in Science, Math or relevant.
- 7 years of executive administrative experience in a corporate environment
- Must have experience supporting the senior leadership team.
- Ability to work independently or as part of a team with minimal supervision.
- Must be able to work in a fast-paced dynamic environment.
- Excellent organizational and interpersonal skills
- Excellent time management skills and ability to prioritize multiple projects.
- Proficient in Microsoft Office and SAP system.
