Job Description:

You will become a key contributor to the success of Shedd Capital by becoming an indispensable daily partner to the Chief Executive. Ideally, the CEO is spending most of his time corresponding with clients, target companies and driving through a myriad of follow-ups simultaneously pushing forward 30-100+ threads that each could result in closing a deal, landing a new client, or establishing a strategic partnership. Your job will be to handle many of the day-to-day details surrounding the CEO to free him up to be most productive.

Core responsibilities:

  • Ensure consistent coordination of the Chief Executives business needs
  • Assist the Executive(s) in project management and cross functional coordination of the areas of responsibility.
  • Write and coordinate timely business correspondences and RSVPs
  • Manage the CEOs appointments and calendar and schedules meetings with clients and client target companies
  • Attend meetings and update the CRM with events and next actions from meetings
  • Share and ensure timely access of all materials (including client business review documents), such that the Executive is prepared in advance of all meetings
  • Organize key financial, legal, and operational documents for record keeping, as well as keep Executive apprised of key deadlines, etc.
  • Organize files, both physical and electronic, and maintain an effective system of document management
  • Manage travel arrangements and create detailed travel itineraries for all travel. Follow up throughout travel to ensure coordination and support at all points
  • Organize expenses and submits expense reports for the Executive
  • Prepare detailed presentations using PowerPoint and Excel
  • Handle office administration on behalf of Executive including but not limited to restocking supplies, purchasing equipment, ordering company gifts for clients or employees, tracking assets

  • Team-orientated and measures success in terms of productivity gains of the team and the company
  • Professional and discreet in dealing with sensitive information such as revenue, expense, or compensation numbers
  • Focused and thorough with strong attention to detail
  • Capable of handling a steady volume of information and tasks methodically without being overwhelmed
  • Organized with effective time management skills; capable of working in a steady daily cadence to make progress on multiple ongoing projects simultaneously
  • Systematic and can readily adhere to operational workflows and develop healthy processes
  • An exemplary communicatorboth written and verbal, precise in both thought and communication

Requirements:

BS/BA degree from a four-year university. All majors are encouraged to apply.

  • Proficiency with Microsoft Office and a general understanding of any CRM system
  • Strong Excel skills
  • Sharp, polished and have a professional demeanor
  • Must have the ability to multitask and handle changes in a positive way
  • Strong follow up on deliverables
  • Possess the characteristics of a successful candidate (defined above)
  • Willing to relocate to Dallas, TX
