Confidential Executive Assistant (HEOa) - Foundation Board Support POSITION DETAILS The Confidential Executive Assistant, reporting directly to the Senior Vice President (SVP) for the Office of Institutional Advancement, Communications & External Relations (OIACER) at The City College of New York, will play a key role as Co-Secretary (staff liaison) to the Board of the Foundation for City College. This position is a vital member of our team and bridges the work done between college management, The City University of New York and the Foundation Board, providing administrative support for the board, board sub-committees and board-related activities. Duties and responsibilities include: Schedule and organize meetings including preparing and distributing agendas, reports, presentations and other supporting materials to foundation board members. Maintain open and clear communication with foundation board members, making certain they are well-informed about meetings, agendas and assigned tasks. Draft minutes from meetings and distribute to foundation board members. Prepare, compile, update and organize board related records ensuring accuracy and easy access to board members and College management. Disseminate and communicate policies and procedures to foundation board members to ensure compliance, accountability, and adherence to ethical standards and minimize potential risks. Track board appointment terms to keep a record of when board members start and finish their terms. Work in collaboration with SVP and other senior leadership to ensure Board recruiting processes are managed on an annual basis. Orient new foundation board members, providing essential information and access to resources to help them adjust to their roles and align with the organizations mission and objectives. Maintain up to date on latest trends and industry best practices on board management which may include attending workshops, or courses on board governance and secretary duties and keeping up with the latest technology to streamline meeting preparation, enhance document security and facilitate collaboration. QUALIFICATIONS Bachelor's degree and four years' related experience required. PREFERRED QUALIFICATIONS Excellent organizational and time management skills. Ability to maintain confidentiality Strong verbal and written communication skills. Professionalism while collaborating with varying managerial levels. Ability to problem-solve and execute tasks intentionally in a fast-paced environment. Proficient in office software, document management systems, and online meeting tools CUNY TITLE OVERVIEW Supports a Campus or University Executive as a confidential assistant, organizing and supervising unit activities. Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events; maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule Coordinates Executive communications, including those requiring a high degree of sensitivity; responds to public inquiries as well as requests from within the Campus/University community Organizes, creates, and distributes key, complex management reports with a high degree of accuracy Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities Procures required internal and external resources and services and manages their utilization May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing Participates in special projects and efforts to improve unit effectiveness Performs related duties as assigned. This position is excluded from union representation. CUNY TITLE Higher Education Assistant FLSA Non-exempt COMPENSATION AND BENEFITS Salary Range $70,238 - $90,375.
