We are currently seeking an Executive Assistant (EA) to support our Head of Energy and Sustainability Advisory Practice for the Americas. This role will be responsible for administrative support and will play an important role in the successful growth of our business. Key priorities will include calendar management, coordinating travel, and managing expenses. Prior experience in an Administrative or Executive Assistant role is required.
The Responsibilities
This critical and highly visible role will have direct interaction with the senior leaders of our Sustainability practice organization, including key stakeholders at the executive level across the organization. Sensitivity to confidential matters is required. Responsibilities include:
* Manage and plan complex travel across time zones - both domestic and international
* Directly manage executive calendar, including managing all incoming meeting requests, deployed with an understanding of prioritization and key relationships
* Anticipating administrative needs and developing creative organizational solutions to support the executive and the team of leaders, including process, templatization, etc.
* Support the organization and distribution of global team communications, including newsletters, All-Hands meetings, etc.
* Work with the executive's leadership team to ensure the executive is prepared for meetings - including agendas, securing and distributing materials in advance, developing briefing documents, soliciting materials in advance and compiling as appropriate
* Prepare documents or communications, proofreading for accuracy
* Support HR & TA through scheduling candidate interviews, and aggregating any materials, reviews, etc.
* Onboarding support for new joiners, including maintaining overview and team-related materials
* Liaise regularly with Enhanced Support Technology Team, Food & Beverage Services, Facilities Team, Reception, Document Center, as needed to provide anticipatory and comprehensive support to the executive
* Provide EA backup support for other key sustainability leaders, based on need and availability
* Support in planning and executing in-person team meetings or offsites, including any room planning, F&B needs, printed materials, workshop materials, etc.

Qualifications
* 5+ years of experience in an executive support role
* Proven ability to handle confidential information discreetly, and possessing of a generally gracious and diplomatic manner
* Previous experience in an Executive Assistant role at a large, global firm is strongly preferred
* Advanced Microsoft office product knowledge (Excel, Word, PowerPoint, and Outlook) required
* Excellent task management required, and an understanding of project management practice preferred
Estimated total compensation for this position:
90,000.00 - 110,000.00 USD per year
The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
