Summary
* This position provides executive and administrative support for an Officer and/or Administrator. This position is responsible for conducting research, preparing statistical and other reports, organizing schedules, keeping records, corresponding with internal and external customers, preparing presentations and other tasks to assist and Officer and/or Administrator in achieving the goals of Mosaic.
* This position works under the supervision of an Officer and/or Administrator with Mosaic Life Care and is employed by Mosaic Health System.
Duties
* Manages office by processing incoming and outgoing mail, screening telephone calls, and maintaining subscriptions, payroll, budget, purchases and accounts payable. Arranges travel schedule and reservations. Coordinates all office functions. Exhibits resourcefulness and demonstrates independence.
* Prepares presentations, creates reports/manuals, and prepare correspondence by utilizing a combination of electronic technology. Serves as designer by artfully designing documents, presentations, models, and concepts. Serves as writer by creatively putting ideas to paper that evokes emotion and action. Acts as composer by instilling inspiration and imagination into work products, documents, etc.
* Serves as executive liaison to community and external executives, communicates and coordinates with leadership. Stands in during conflicting events.
* Attends meetings as requested to take minutes, type minutes, and track issues, prepare agenda and assist group in preparation for the next meeting. May require travel within the areas we serve.
* Coordinates appointments and meetings with other administrative staff, providers, government officials, consultants, caregivers, or others as requested, prioritizing and arranging as efficiently as possible.
Qualifications
* Bachelors' degree is preferred
* A minimum of 3 years progressive experience as an administrative/executive assistant or completion of an Executive Assistant's certification program in lieu of experience. Typing of 75 words per minute preferred.
