Job Description:

Our client, a large healthcare organization and located in Green Bay Wisconsin is looking for an Executive Assistant for a four month contract. This individual will provide high-level administrative support to the senior management team, ensuring smooth and efficient operations. The ideal candidate will possess excellent organizational, communication, and time-management skills and will thrive in a fast-paced, healthcare-focused environment.

Key Responsibilities:

  • Provide comprehensive administrative support to the executive team, including scheduling meetings, managing calendars, and handling travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Act as a liaison between executives and internal/external stakeholders.
  • Coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Handle confidential information with discretion and professionalism.
  • Assist with special projects, research, and data analysis as needed.
  • Organize and maintain filing systems and records.
  • Assist with budgeting and expense reporting for the executive team.
  • Manage office supplies and liaise with vendors for office-related needs.
  • Ensure smooth daily operations of the office and act as a point of contact for operational inquiries.

Qualifications:

  • Minimum of 7 years of experience supporting executives in a fast-paced environment, preferably within healthcare or a related industry.
  • Exceptional organizational, time-management, and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Must type 60+wpm
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with the ability to build relationships with stakeholders at all levels.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to prioritize tasks and adapt to shifting priorities.
  • Knowledge of healthcare industry terminology and practices is a plus.
