This role requires an individual who is professional, detail-oriented, organized, and can manage multiple tasks simultaneously. The ideal candidate will have a minimum of 5 years of experience in a similar role, with a strong focus on calendar management and organization. This position will work closely with our executive team, providing high-level administrative support that includes a variety of administrative tasks, project coordination, and maintaining confidential and sensitive information.Responsibilities:
- Provide full administrative support to the executive team, including managing complex calendar scheduling, arranging travel itineraries, and coordinating meetings.
- Coordinate and manage special projects as assigned, ensuring deadlines are met.
- Prepare and edit correspondence, communications, presentations, and other documents.
- File and retrieve documents and reference materials.
- Conduct research, collect and analyze data to prepare reports and documents.
- Manage and maintain executives' schedules, appointments, and travel arrangements.
- Arrange and coordinate meetings and events.
- Record, transcribe, and distribute minutes of meetings.
- Monitor, screen, respond to, and distribute incoming communications.
- Interact with clients, senior management, and other staff members professionally and efficiently.
- Ensure smooth and efficient flow of day-to-day operations.
- Uphold a strict level of confidentiality and professionalism.
Qualifications:
- A minimum of 5 years of experience as an Executive Assistant or similar role.
- Bachelor's degree in Business Administration or related field is preferred.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with calendar management and organization.
- Excellent verbal and written communication skills.
- Strong organizational skills and ability to multi-task.
- Ability to work independently and as part of a team.
