Executive Assistant, University Counsel/Title IX Job no: 497371 Work type: Full Time Location: Jacksonville, AL (Main Campus) Categories: Staff Department: University Counsel / Title IX Requested Start Date: January 13, 2025 Normal Work Schedule: 8:00 a.m. - 4:30 p.m. Monday-Friday, some evenings and weekends required Salary: $44,000.00 - $50,000.00 commensurate with experience Job Summary: Under the direct supervision of the Chief University Counsel and the University Counsel/Title IX Coordinator, the Administrative Coordinator provides administrative support to the Office of the University Counsel by coordinating and facilitating day to day operations of the Office's administrative systems, policies, procedures, and related programs; initiates problem solving, and maintains a high level of tact and diplomacy while discreetly handling confidential and sensitive matters. Duties and Responsibilities: Serves as the administrative representative liaison for the Legal Office working with both the Chief University Counsel and University Counsel/Title IX Coordinator; ensures the timely initiation and processing of all actions and requests from other University Divisions/departments. Oversees day-to-day activities of the Legal Office including, but not limited to arranging conference calls and meetings, compiling and disseminating meeting background information, ensuring effective time management, establishing work priorities, and setting up appointments as appropriate. Requests information and actions on behalf of the Chief University Counsel and the University Counsel/Title IX Coordinator and ensures these requests are fulfilled efficiently and effectively; advises both attorneys of pending circumstances or events which have influence on department procedure and/or university policy. Manages and maintains travel arrangements for the Chief University Counsel and University Counsel/Title IX Coordinator; prepares and submits travel requisitions and expense vouchers. Prepares reports and presentations, collects and analyzes information, and drafts correspondence and responses to routine memos and letters. Utilizes Self Service and Administrative Banner for obtaining budget information. Advises the Chief University Counsel and University Counsel/Title IX Coordinator of pending circumstances or events which have influence on office or university policy. Monitors department budget accounts. Makes financial inquiry, monitors contracts, commits funds, and maintains budget file to keep the University Counsel advised of current balances, reconciles Purchasing Card transactions. Assists with the collection and preparation of reports for Board of Trustees as needed. Maintains calendar for Chief University Counsel and University Counsel/Title IX Coordinator. Updates Office web page and issues targeted messages on MyJaxState, as needed. Assumes responsibility for the maintenance of office equipment and associated contracts, inventory of office supplies, materials, letterhead and envelopes, business cards, and brochures. Assists the Chief University Counsel with the implementation, coordination of all university contracts into iContracts, Jax State's contract software. Performs other duties as assigned by the Chief University Counsel and University Counsel/Title IX Coordinator.
