Key Responsibilities:
- Clerical Assistance: Provide general clerical support including data entry, filing, and organizing documents.
- Documentation: Prepare and maintain various internal documents.
- Mail management: Sort and distribute departmental mail efficiently and timely.
- Email Management: Prioritize, organize, and distribute emails for the CEO. Print emails and present in-person to the CEO.
- Meeting Scheduling: Schedule various internal meetings on a regular schedule, and handle coordination of invites and document sharing.
- Additional Duties: Run general errands.
- Maintain an advanced degree of confidentiality along with excellent judgment, discretion, and a high degree of maturity/professionalism.
- Manage special projects and initiatives on behalf of the CEO and CFO, driving timely completion and alignment with overall company objectives.
- Facilitate communication and coordination among various departments, ensuring effective cross-functional collaboration, including managing all incoming communications on behalf of the CEO and CFO.
- Complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; adjusting plans.
- Organize, prioritize, and appropriately handle documents, emails, and sensitive, confidential information and ensure action/attention required is addressed.
- Arrange and manage meetings (document meetings and take notes on action items)
- Ensure the CEO and CFO are fully prepared for all meetings by keeping them on schedule and providing necessary materials.
- Plan, organize and manage the CEO and CFO's calendar, including meetings, events, and appointments, and travel, both professionally and personally.
- Apply judgment with full understanding of urgency and priorities of the business, routinely needing to multi-task.
- Assist office personnel with various duties/projects as needed.
- Be willing to do other tasks as deemed necessary.
Preferred Requirements:
- Bachelor's degree preferred.
- Expert in Office365 applications and email systems.
- Ability to handle confidential and sensitive information with discretion.
- Detail oriented with the ability to work well under pressure and manage multiple tasks with overlapping deadlines.
- Strong time management skills and ability to offer accurate and timely feedback.
- Regular attendance and punctuality are essential for daily work schedules.
- Strong communication skills, both written and verbal.
- Excellent multitasking abilities with a keen attention to detail.
- Proactive and self-driven attitude to ensure efficient task completion.
