Job Description:
We are seeking a highly organized and proactive Executive Assistant to join our team. This role is based in New York City and will report directly to the CEO and also support the President and CFO. The successful candidate will play a pivotal role in managing administrative responsibilities, act as a liason to the Investor Relations (IR) partner, and ensuring the seamless execution of board and executive-level meetings. Location: Our office will be located in New York City, and we expect this person to be on-site at least once a week, with a minimum of twice per month. Mail and meetings will be managed at this office, so regular attendance is required to ensure smooth communication and collaboration. Primary Responsibilities: Coordinate and schedule investor conferences/meetings, board meetings, and Monthly Business Review (MBR) meetings. Manage logistics, including booking venues, arranging travel, processing expense reports and preparing necessary materials. Act as a liaison between the Executives, the Investor Relations partner and external stakeholders. Handle confidential information with discretion and professionalism. Liaise with internal and external stakeholders to ensure all meetings run smoothly. Prepare and distribute agendas, meeting minutes, and supporting documentation for board meetings. Maintain organized records of board materials and correspondence. Lead special administrative projects related to investor relations and board matters. Support various investor relations projects, ensuring deadlines are met and deliverables are completed accurately. Provide general administrative support to the leadership team as assigned. Ensure timely follow-up on action items resulting from meetings. Support maintenance of a comprehensive investor relations program, including investor communications, presentations, and reports. Support drafting, editing, and cross-tying of press releases, annual reports, and other communication materials for investors and stakeholders. Prepare, edit, and proofread correspondence, reports, and other documents as needed. Maintain accurate records and files. Perform additional tasks and responsibilities as required to support the team and organizational goals, demonstrating flexibility and adaptability in a dynamic work environment. Qualifications: Bachelor's degree in business administration, finance, communications, or a related field preferred. Associate's degree with commensurate experience will be considered. Professional certifications are a plus. 5+ years of experience in executive coordination, or board-level administrative roles in a public company. Proven track record in managing high-stakes scheduling, logistics, and communications. Strong organizational and time management skills with exceptional attention to detail. Demonstrated ability to handle confidential information with discretion. Advanced proficiency in scheduling software, virtual meeting platforms, and Microsoft Office Suite. A proactive and solution-oriented mindset with the ability to work effectively in a fast-paced environment. Ability to work in a fast-paced environment and manage multiple priorities. Positive attitude, team player and strong work ethic. Willing to build understanding of applicable state and local laws and regulations as they pertain to the industry, personnel law, safety regulations, local municipal codes and organizational rules, regulations, directives, and standard operating procedures. Must be and remain compliant with any and all regulatory requirements for working in the cannabis industry.
