Job Description:
We are seeking a highly organized and detail-oriented Executive Assistant to support multiple partners at a major law firm in New York. The ideal candidate will have advanced Excel skills, strong project management capabilities, and experience in managing complex calendars and schedules. This role plays a crucial part in ensuring the smooth daily operations of the department while contributing to the success of strategic legal projects.Key Responsibilities:
  • Coordinate and manage complex scheduling for the Senior Legal Executive, including internal and external meetings, travel arrangements, and appointments.
  • Support legal and departmental projects by tracking progress, managing timelines, deliverables, and follow-ups. Ensure timely completion of key tasks and projects.
  • Leverage advanced Excel skills to analyze data, create reports, and manage spreadsheets for legal and business-related projects. Handle data consolidation and other complex functions as needed.
  • Prepare, edit, and ensure the accuracy of PowerPoint and Keynote presentations for internal and external meetings, ensuring clarity and professionalism.
  • Generate and maintain weekly, monthly, and ad-hoc reports on various metrics and departmental performance, utilizing Excel and other reporting tools.
  • Draft, proofread, and manage correspondence and official documents, ensuring error-free and properly formatted deliverables.
  • Organize and prepare materials for meetings, take meeting minutes, and follow up on action items as required.
  • Serve as a liaison between the executive and internal/external stakeholders, ensuring timely and clear communication across all levels of the organization.
  • Handle various administrative tasks including expense reports, vendor communications, and general office organization as needed.
Qualifications:
  • 5-10 years of experience in an Executive Assistant role, preferably supporting senior leadership within a legal or corporate setting.
  • Expertise in managing complex spreadsheets and performing data analysis with advanced Excel skills.
  • Strong organizational and project management skills with the ability to manage multiple projects simultaneously, prioritize tasks, and meet deadlines.
  • Proven ability to manage complex executive calendars and schedules, coordinating meetings and resolving scheduling conflicts.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills with the ability to interact effectively at all organizational levels.
  • Strong attention to detail and a proactive approach to identifying issues and proposing solutions.
  • High level of professionalism and discretion, especially in handling confidential information.
  • Ability to prioritize tasks and thrive in a fast-paced, dynamic environment.
Compensation: $30-40/hrSalary is based on a range of factors that include relevant experience, knowledge, skills, other job-related qualifications.#SONINY
