Job Summary:Meneses Law is looking for an Executive Assistant to support the President of the law firm. The ideal candidate will be bilingual in Spanish/English and able to prioritize tasks and manage schedules effectively. The Executive Assistant will coordinate and manage executive scheduling, prepare, and organize important legal and strategic materials and plans, and support executive meetings in preparation of meeting materials. The Executive Assistant will have exemplary time management skills and the ability to identify and anticipate the President's needs. Candidate must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Senior Management that report to the President. To perform this job successfully, the individual is expected to handle highly sensitive and confidential information while exercising professionalism and discretion.
Executive Assistant Essential Functions/Responsibilities:- Work directly with the President to support all aspects of her daily work routine.
- Maintain the President's calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs.
- Acting as the point of contact among executives, employees, clients, and other external partners.
- Coordinate work with other management staff as needed; play a key role in the coordination of staff efforts.
- Compose and prepare letters relating to routine correspondence for the President's signature.
- Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
- Keep the President advised of time-sensitive and priority issues, ensuring appropriate follow-up.
- Managing information flow in a timely and accurate manner
- File documents and keep documentation organized.
- Must be able to act in a courteous and professional manner and display courtesy to employees, customers, vendors and others in all interactions.
- Schedule and attend meeting and take notes of discussion; prepare the initial draft of minutes and summaries.
- Must be able to always maintain strict confidentiality at an advanced level for all legal, financial, employee, computer or other sensitive information or materials.
- Complete special projects including creating PowerPoint presentations, spreadsheet reports, special reports, and agenda material.
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
Executive Assistant Required Skills/Abilities:- Excellent verbal and written communication skills.

- One year work experience as an Administrative Clerk or similar clerical role.
- Good understanding of clerical operations
- Principles and procedures of record keeping.
- English usage, spelling, grammar, and punctuation.
- Ability to work in a fast-paced environment.
- Able to type 45 WPM or more.
- Must be available to travel (15%)
- Must be fluent in English and Spanish.
Education and Experience:- Bachelor's degree
- 1 year of Office Experience/ Executive Assistant Experience preferred

Qualifications/ Requirements:Education/ Experience:
- A bachelor's degree, knowledge of MS Office and MacOS.
Communication Skills:
- Ability of reading comprehension, writing, speaking to others to convey information effectively, active listening and interpreting instructional documents.
Reasoning Skills:

Physical Demands:
- This position involves regular walking, standing, sitting for extended periods of time, hearing, and talking.

Work Hours:
- Monday to Friday from 8:00 am to 5:00 pm + 2 Saturdays, per month. Must work a flexible schedule based on department and company needs.
