Executive Assistant to CEO
Location: Greenville, SC
Pay Rate: $20/hour
Schedule: Monday - Friday, 8:30 AM - 5:00 PM
Start Date: ASAP
Job Summary:
We are seeking an organized and detail-oriented Executive Assistant to the CEO to join our team. This role is essential in providing high-level administrative support, ensuring the smooth operation of the executive office, and facilitating effective communication with internal and external stakeholders. The position requires a proactive individual with excellent multitasking skills and a strong ability to maintain confidentiality.
Key Responsibilities:
Executive Support:
- Manage the CEO's calendar, schedule appointments, and coordinate meetings.
- Prepare agendas, reports, and materials for board and committee meetings.
- Oversee the logistics of internal and external meetings, including venue setup, technology arrangements (e.g., Zoom, Teams), and refreshments as needed.
- Act as the primary liaison between the CEO and external stakeholders, including community partners and the Board of Commissioners.
Communication:
- Draft, proofread, and distribute correspondence, resolutions, and board materials.
- Prepare information on meeting attendees, including affiliations and biographies.
- Coordinate communication and other relevant entities.
Event Management:
- Plan and execute special events, including venue selection, invitations, guest lists, and materials.
- Handle technology needs for virtual events and recordings.
Administrative Duties:
- Maintain office supplies and inventory.
- Oversee the preparation of board meeting spaces and assist with internal events.
- Manage website updates and social media content.
- Handle sensitive data related to financial, business, and personnel matters.
Qualifications:
Education & Experience:
- Bachelor's degree or equivalent relevant administrative experience.
- Minimum of 5 years in executive-level administrative support.
Skills & Abilities:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with Google products.
- Excellent written and verbal communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to work independently and manage multiple priorities under limited supervision.
- Strong customer-service orientation with professionalism in all interactions.
Preferred:
- Bilingual capabilities.
- Knowledge of affordable housing laws and regulations.
Work Environment:
- Office-based role with a moderate noise level.
- Occasional lifting of up to 25 pounds.
- Frequent use of computers and standard office equipment.
