The Executive Assistant will collaborate with all levels of the organization as well as external partners, to ensure a well-informed and efficient approach to tasks all while aligning with the strategic direction of the organization.What you get to do:
- In alignment with executive's priorities, manage the executive's calendar which is to include scheduling and confirming meeting dates, appointments, events, and other functions, both personally and professionally, attended by the executive. This includes securing meeting rooms, facilities, and other supporting infrastructure as necessary.
- Assist the executive in prioritizing connections with people, both internal and external, to maintain and promote a people first culture.
- Serve as communications liaison for internal and external partners to ensure correspondence and actions are handled optimally.
- Develop internal and external communication materials in coordination with and on behalf of the executive, including but not limited to presentations, correspondence and meeting minutes.
- Arrange travel, including preparation of itineraries and hotel and vehicle reservations, which may require after hour and weekend work on occasion.
- Oversee event planning, including event agendas, catering, hotel reservations, RSVP's, and other relevant duties.
- Process a wide range of highly confidential documents both company and personal. Set up and maintain electronic and paper filing systems.
- Control the use of the executive's signature on all legal and other documents as is directed by the executive.
- Provide support for projects and tasks within the organization as requested by executive.
- Accompany and support the executive as needed to meetings, gatherings, functions, and/or company events.
- Create, maintain, and communicate best practices for the Executive Assistants at The Boldt Company.
What we expect from you:
- Associate's Degree in relevant field of study required.
- At least seven years of executive assistant experience or relevant experience in a related field required.
- Intermediate skills in Microsoft O365, PDF editing software, DocuSign, and other related technology platforms.
- A high level of integrity and discretion in handling confidential information, and professionalism in dealing with individuals inside and outside the company.
- A valid driver's license may be required. Individuals in this role may be subject to an annual Motor Vehicle Records check. The outcome of any MVR checks conducted may negativity impact the persons' ability to participate in any vehicle program provided by the company, including but not limited to the ability to drive a personal vehicle on behalf of The Boldt Company or rent a vehicle through for business travel purposes.
Physical requirements and working conditions:While performing the duties of this job, the employee is frequently required to remain in a stationary position for up to eight hours. The employee occasionally is required to move to access people or workspaces. Constantly operates a computer and other office equipment, such as a calculator, copy machine and computer printer. The ability to optimally communicate is required. The employee may occasionally move up to 15 pounds.The working conditions of this position requires the employee to work inside an office environment. The environment for which this position functions may contain scents and fragrances.
