The ideal candidate will excel at managing multiple priorities, handling sensitive information, and anticipating the needs of the executive leadership. As an integral part of our team, you will work closely with senior leaders to ensure smooth operations and contribute to the overall efficiency of the organization.Position Summary:
- Calendar Management: Organize and maintain executive schedules, including coordinating meetings, travel arrangements, and appointments. Ensure executives are well-prepared for all engagements.
- Communication Management: Screen, respond to, and direct incoming communications (calls, emails, messages) to the appropriate parties. Draft, proofread, and send correspondence as needed.
- Travel Coordination: Arrange domestic and international travel for executives, including transportation, lodging, and itineraries.
- Meeting Coordination: Schedule, prepare agendas, and ensure all logistics are in place for meetings. Take meeting notes and track action items.
- Document Management: Prepare and organize reports, presentations, and other documents for meetings and presentations. Maintain an efficient filing and record-keeping system.
- Expense Management: Prepare and assist with expense reporting, tracking receipts, and reconciling credit card statements for executives.
- Event Planning: Organize internal and external events, including team meetings, conferences, luncheons, and client engagements.
- Project Support: Provide support for special projects, as needed, including research, data collection, and preparing project timelines.
- Relationship Management: Build and maintain professional relationships with internal and external stakeholders, including clients, vendors, and team members.
- Confidentiality: Handle sensitive and confidential information with the utmost discretion and integrity.
Qualifications:
- Education:
- Bachelor's degree in business administration, Communications, or related field preferred.
- Professional certifications (e.g., Certified Administrative Professional) are a plus.
- Experience:
- 5+ years of experience as an executive assistant, administrative assistant, or in a similar role.
- Proven ability to manage complex schedules and competing priorities in a fast-paced environment.
