Job Description:

Our client, a leading Investment Advisory Firm, is seeking a new Full-Time/Permanent Executive Assistant to support its Legal & Compliance Team. Candidates must have a minimum of 5+ years of applicable experience, ideally supporting a team within financial services (however, they are also open to industry and backgrounds!) and a Bachelor s degree is required. Ideal candidates should be exceedingly organized, great at multi-tasking, polished and professional, possess excellent interpersonal and communication skills (both verbal and written), strong decision-making abilities, attention to detail, and be a team player who can also work independently with little or no supervision. The ability to interact with colleagues at all levels in a fast-paced environment, often under pressure, while remaining flexible, proactive, resourceful and efficient, with high level of professionalism and confidentiality is crucial to succeeding in this role. This is a great firm with little to no turnover and a collaborative work culture.

  • Salary depends on experience (80-90k base), plus BUILT IN paid overtime and discretionary bonus eligibility.

Responsibilities:

  • Provide high-level executive administrative support to the Legal & Compliance Team
  • Schedule and organize extensive internal and external meetings, conference/video calls, and appointments across various time zones; manage and maintain busy and ever-changing calendars
  • Coordinate complex domestic and international travel arrangements and detailed itineraries
  • Prepare, process, and submit expense reports using Concur
  • Maintain and update various spreadsheets for the department
  • Work closely with the other EAs throughout the different offices
  • Interact with clients, vendors and service providers
  • Assist with other projects and responsibilities at the team s discretion
  • Screen and answer a high volume of incoming calls
  • Set up and breakdown conference rooms and arrange meals and refreshments

Required Qualifications:

  • Minimum 5+ years in a similar role, financial company experience preferred
  • College degree required, Bachelor s degree (B.A. or B.S.)
  • Extremely organized and detail oriented
  • Excellent interpersonal and communication skills (both verbal and written)
  • Proactive and great at multi-tasking
  • Strong decision-making ability
  • Team player who can also work independently with little or no supervision
  • Ability to interact with colleagues at all levels in a fast-pac3ed environment, often under pressure
  • Flexible, polished, proactive, resourceful, and efficient
  • High level of professionalism and confidentiality
