Overview

The Executive Assistant acts as an important liaison between the Office of the Chief Financial Officer (CFO) and the finance staff, the broader corporate landscape, as well as external stakeholders. This role offers a unique opportunity to make a significant impact at one of the nation's largest investor-owned energy companies and the communities it serves. Working closely with the Chief Financial Officer, the Executive Assistant will help maximize the CFO's time and focus by aligning with their top priorities for advancing the organization. Operating with minimalsupervision, the Executive Assistant will be a proactive, highly motivated professional, taking full responsibility for providing seamless support and ensuring the office functions effectively and efficiently.

Responsibilities

Core Responsibilities

  • Provide sophisticated calendar management. Prioritize inquiries and requests while troubleshooting conflicts; utilize judgments and recommendations to ensure efficient time management.
  • Serve as a liaison to a wide range of internal and external stakeholders including the Board of Directors and senior leadership team, the investor community, financial institutions, rating agencies, and regulatory officials; organize and coordinate executive outreach and external relations efforts.
  • Complete a broad variety of administrative tasks that facilitate the CFO's ability to effectively lead the organization. Assist with special projects; design and produce complex documents, reports, and presentations; develop agendas; synthesize and prioritize requests and engagements; collect and prepare information for meetings with staff and outside parties; compose and prepare correspondence; maintain contact lists; arrange domestic and international travel, lodging and itineraries, and complete expense and mileage reports.
  • Work closely with the CFO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Maintain awareness of key issues, objectives and initiatives in order to ensure the CFO is updated and their activities are consistently prioritized and focused. Anticipate their needs in advance of meetings, conferences, etc.
  • Manage, organize, and maintain electronic files of key documents and reports received via email and other media to ensure efficient access to materials when needed.
  • Maintain effective working relationships with colleagues and senior staff members. Manage competing priorities effectively and meet deadlines. Analyze incoming requests for distribution and follow up as necessary. Respond to and task inquiries and sensitive correspondence. Handle sensitive information with the highest degree of integrity and confidentiality.
  • Exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
  • Qualifications

    Required Education/Experience

  • Bachelor's Degree and 3 years of experience supporting Senior Management or
  • Associate's Degree and 4 years of experience supporting Senior Management or
  • High School Diploma/GED and 5 years of experience supporting Senior Management.
  • Relevant Work Experience

  • Ability to demonstrate superior computer skills, including proficiency in Microsoft applications such as Excel, Word, PowerPoint, and Outlook, required.
  • Knowledgeable in Oracle and telecommunication systems, required.
  • Ability to efficiently retrieve, interpret, and relay messages from email, Microsoft Teams, and phone communications, and respond as appropriate, required.
  • Exhibit a conscientious work ethic with strong presentation and interpersonal skills, required.
  • Be flexible with work hours to address time-sensitive business and system needs, required.
  • Excellent oral and written communication skills with the ability to draft, edit and proofread written communication messages, presentations and board reports, required.
  • Must have a strong attention to detail, be able to learn and anticipate work requirements and be able to prioritize deliverables, required.
  • Must be a self-starter and have the ability to multi-task and handle changing priorities, required.
  • Must be able to exercise independent judgement and discretion in the coordination of meetings, reports and information while maintaining a strict level of confidentiality, required.
  • Possess strong financial acumen with experience in investor relations, finance and accounting reports, financial institutions, credit agencies, etc., required.
  • Experience supporting a VP, SVP, President or C-level executive, required.
  • Licenses And Certifications

  • Must be able to respond to Company emergencies by performing a System Emergency Assignment to restore service to our customers.
