Executive Assistant t is needed for a contract opportunity for our Entertainment client located in New York City. Job Details Duration: 3 months+ initial contract (Possibility to extend or convert) Location: Madison NY Schedule: Hybrid Hourly Pay rate: $35 Executive Assistant Duties
- Coordinating meetings and maintaining Outlook calendars
- Answering and screening phone calls
- Booking travel arrangements
- Preparing expense reports and assistance with review follow-up
- Opening and dispersing mail
- Coordinating departmental supply needs
- Other day-to-day administrative support and special projects as needed
- Preparing invoices for approval and payment processing
- Assistance with vendor set-up requests
- Assistance with Concur training and troubleshooting (Super User for the division)
- Compliance coordination support (e.g., Business Continuity Plan updates, training delinquency follow-ups, etc.)
- Generating reports and distributing documents as necessary, including coordination of monthly financial reporting packages
- Assistance with other finance support including corporate cell phone requests, charitable contribution requests, etc.
- Serve as liaison with various departments to address facilities related issues and inquiries including troubleshooting, coordination of office purchases (e.g. office supplies, furniture, kitchen supplies, office equipment) clarification and inquiries regarding building policies and protocol, etc.
- Coordinate to ensure common areas of the floor (Pantry, Copy Rooms, Supply Room, Meeting Rooms, Freight Area) are well maintained, organized and stocked as required
- Coordinate work order requests
- Other tasks as needed

- Bachelor's degree preferred
- Three to five years' prior experience in supporting a senior executive or team
