We're looking for a proactive Executive Assistant to support RIVET's CEO, manage a set of key operations & financial systems, and serve as a critical link throughout RIVET. RIVET is a new social purpose (NGO) brand that is leveraging the collective consumer power of Gen Z to create the world's first micro-funding platform focused exclusively on young social innovators. Partnering with major brands, we plan to raise millions of dollars over the next decade to provide small, start-up grants to young changemakers (under 30) from every corner of the globe. RIVET distributes these grants through a network of youth-serving NGOs who have already built on-the-ground relationships in communities with youth who are ready to lead. RIVET is seeking an Executive Assistant who will provide structure, support, and follow-through to our CEO's daily work, especially for fundraising; oversee critical internal systems for finances, communications, and operations; and manage a range of projects in a fast-evolving start-up. This position reports directly to the CEO and works closely with all members of the RIVET team and boards. Given this, it is important that this person is a self-sufficient, independent worker, who is effective at advocating for their needs.Success indicators include: a CEO whose work is effectively project-managed and who is prepared for meetings and speaking engagements; RIVET's tech stack, financial and core operational systems are functional and supportive; constituents feel well-served, respected and cared for in all interactions; timely, accurate recording of key information; and effective external communication.A full deck with more information about this role, the responsibilities, and an FAQ can be found here.Core ResponsibilitiesAs the Executive Assistant, you will by the right-hand partner with the CEO on key systems (finance, operations, fundraising), as well as play a key role in supporting the CEO as a fundraiser and relationship-holder. This encompasses a number of responsibility areas, some shared and some solo. These will evolve over time. Manage the full cycle for successful meetings (50%):
- Logistics: schedule, track and prepare CEO and internal and external attendees for meetings
- Moves management: track meeting notes, follow-up tasks and attendee stewardship steps
- Project management: track and direct tasks, ensuring CEO (and others) is focused on key needs
- Research: qualifying new prospects, potential speaking engagements and conferences
- Gift processing: manage donor gift follow up and acknowledgements
- Communication: liaise with external constituents on behalf of the CEO
- Travel: manage trips to maximize opportunities
Finance & Operations (25%):
- Finances: Process & track expenses and income (working with external bookkeepers)
- Systems: Manage tech stack & core internal processes
- HR: Lead on hiring processes, onboarding & offboarding
- Culture: Support effective internal communications, work alignment, and a positive organizational culture
Projects (25%):
- Mix of internal and external-facing projects that will vary, including: manage Board and Advisors meetings and follow-up; event support; annual audit; and more
Who We're Looking ForWe recognize that no one candidate will possess every qualification and we welcome candidates from different professional backgrounds who bring many of these professional qualifications and personal attributes:
- At least three years of project management experience in a professional setting; with at least two directly supporting a senior level professional
- Excellent written and oral communication skills in American English; demonstrated ability to communicate with and engage a wide range of audiences
- Superb attention to detail so that there is confidence that one's work will not need to be double checked for accuracy
- Curiosity about and interest in research: you can quickly uncover facts and are curious to pursue additional information with focus and the ability to draw insights from what is relevant
- Previous work in event planning, managing schedules, travel booking or other comparable roles that demonstrate organizational and project management abilities
- Ability to be flexible in a startup environment where tasks and projects change quickly
- Ability to work independently as well as prioritize multiple tasks in a highly dynamic environment
Compensation$60,000 - $70,000 (with adjustment made depending on geography)Start DateJanuary 2025Location:Remote with possibility of infrequent in-person meetings required.
