Job Description
* Provide exceptional customer service and administrative support, often involving highly confidential and/or sensitive materials and situations
* Assess and improve organizational systems for accuracy and efficiency; Identify processing bottlenecks and make recommendations for improvement; Create standard operating procedures for common situations and tasks; Maintain appropriate data and document storage
* Compile data and create reports; Stay abreast of relevant department data, how it is tracked and provide updates to appropriate parties
* Coordinate and maintain department communications; Assist with maintain web information, social media accounts, and prepare professional outreach materials (ie., flyers, memos, announcements)
* Schedule and prepare for meetings such as sending calendar requests or invites, room reservations and catering; Serves as recording secretary in meetings/committees chaired by the administration, coordinates communication with committee members, prepares and distributes minutes often involving highly confidential and/or sensitive materials and situations
* Prepares and oversees annual departmental budget; compiles information, analyzes past activities and projects future needs; accounting processes including reconciling monthly statements; Collaborate with department staff for supply ordering, expense recording and account reconciliation
* Greet visitors and receive incoming calls or email in a courteous and informative manner; determine needs, redirect to others as appropriate; and follow up to ensure timely response; May act as liaison between the office and others
* Inform colleagues of campus processes to coordinate travel and logistic arrangements including processing travel documents upon completion for reimbursements
* Plan, coordinate, prepare and orchestrate execution of special events or training and monitor completion of special projects related to the strategic plan
* Performs other job-related duties as assigned
Minimum Qualifications
Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary
Preferred Qualifications
* Good oral and written communication skills with the ability to work with diverse populations
* Proficient at coordinating and managing multiple projects, schedules, and priorities
Anticipated Hiring Range
The anticipated hiring range for this position has been established as $18.61-$25.27 hourly.
Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
