Position Summary

The primary location of this position is on the main Cullowhee, NC campus.

The Executive Assistant is a vital role in the Division of Educational Outreach, serving as a point of contact for all of the staff in the division, informing staff of important policy or procedural changes within the division or university as well as coordinating new employee training. Position maintains a wide range of confidential data including (but not limited to) departmental records, personnel files, historical archives and policy/procedure documentation. This position manages the calendar, email and travel processes for the Executive Director. The position also maintains the departmental calendar and manages scheduling of the front office. When deemed necessary by the Executive Director, this position may occasionally act as a liaison for the Executive Director, representing them at events and meetings. The Executive Assistant is expected to communicate at a high level with both on and off campus partners, constituents and customers. A strong commitment to customer service and excellent oral and written communication skills are critical. Success in the Division of Educational Outreach is hinged directly on positive working relationships with other departments on campus and this position must help foster these relationships as well as help identify and troubleshoot pain points or barriers. The Executive Assistant coordinates a number of events throughout the year and is expected to anticipate the key needs and players required at those times. As the Executive Assistant works closely with the Executive Director in a wide range of organizational and operational procedures, the position must have a deep knowledge of the programming and goals of Educational Outreach, as well as a thorough understanding of WCU's policies, procedures, and strategic planning. All aspects of the hiring process for SHRA, EHRA and student employees within the division are coordinated by the Executive Assistant. Additionally, the Executive Assistant directly supervises the student employees and handles their paperwork, training, scheduling and disciplinary action. This position is expected to review and edit important documents and materials, compile and develop various reports at the request of the Executive Director and others in the Division as well as recording minutes and action items from meetings, often following-up with staff members on key points and initiatives. The position also serves as a backup for the budget officer for purchase approvals, budget information, deposit reconciliation and funding recommendations. Additionally, this position with participate fully as a member of the Educational Outreach Team.

Knowledge, Skills, & Abilities Required for this Position

The ideal candidate will possess excellent oral and written communication skills. A commitment to customer service is critical, especially as the Division of Educational Outreach is predominantly receipt-funded. Candidate must have a proven ability to work with a wide-range of diverse populations as they will communicate with faculty, staff, students, partners and community members on a daily basis. The ability to maintain a calm and professional demeanor during times of stress or conflict is also essential. The ability to quickly learn new computer programs and other technologies is important as this position serves as a source of information and training for the Division staff. This position must balance independent and team-based projects, being able to prioritize work based on a number of factors in a given day. High integrity is critical as the Executive Assistant position is responsible for the management and safekeeping of confidential materials.

Minimum Qualifications

High school diploma or equivalency and three years of progressively responsible administrative/office management experience;

or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Anticipated Hiring Range $50,346 Position Type Permanent Full-Time Number of Hours per Week 40 Number of Months per Year 12 Salary Band Range $37,306 - $86,062 Salary Grade For administrative purposes during the implementation of Career Banding this journey level position is considered a Salary Grade 64.
