We are seeking a highly organized and versatile Executive Assistant to support our executive team, manage our social media presence, and handle accounts payable tasks. The ideal candidate will have a passion for the financial services industry, have great attention to detail and can work in a dynamic fast-paced environment.
To be considered for this position, candidates must be legal residents of the U.S. and currently residing within the country. Additionally, you must live within a reasonable commuting distance to downtown Fort Lauderdale, Florida. If you do not meet these criteria, your application will not be considered. This role requires in-office presence five days a week. While we do not offer relocation assistance, we are flexible with the onboarding schedule if you plan to move to the area within the next month.
Key Responsibilities:
Executive Assistant:
- Provide comprehensive administrative support to the executive team, including calendar management, travel arrangements, and meeting coordination.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Handle confidential information with discretion and professionalism.
- Assist in the preparation of reports, agendas, and minutes for meetings.
- Coordinate and manage special projects as assigned.
Social Media:
- Develop and implement social media strategies to enhance brand awareness and engagement.
- Create, curate, and schedule content across various social media platforms (e.g., Facebook, Twitter, LinkedIn, Instagram).
- Monitor social media channels for trends, feedback, and engagement opportunities.
- Analyze social media metrics and provide regular reports on performance and insights.
- Collaborate with resources to align social media efforts with overall marketing strategies.
Accounts Payable:
- Process and manage accounts payable transactions, ensuring accuracy and timeliness.
- Verify and reconcile invoices, purchase orders, and expense reports.
- Maintain accurate records of all account payable transactions.
- Communicate with vendors and suppliers to resolve any discrepancies or issues.
- Assist with month-end closing activities and financial reporing.
Qualifications:
- Proven experience as an Executive Assistant or in a similar administrative role.
- Strong proficiency in social media platforms and tools.
- Basic knowledge of accounts payable processes and accounting principles.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with accounting software.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- High level of discretion and confidentiality.
