Position

We're looking for a skilled and dynamic Executive Assistant to support our Chief Business Officer and General Counsel (CBO/GC) and the associated important activities for both departments. You will be an integral member of a cross-functional team consisting of our Business Development and Licensing (BD&L) group as well as our Legal group. You will support Eikon's efforts through an exciting and intense time of rapid growth and change. You will handle day-to-day administrative tasks and work closely with the BD&L and legal teams to support their internal and external-facing activities.

You are recognized as a well-organized thought partner who thrives functioning as a critical member of a fast-paced team. You pay acute attention to detail as you support the CBO/GC and BD&L/Legal team members with their respective day-to-day needs. You are comfortable working with an extensive network of internal and external stakeholders across business development and legal related programs. You are a clear, concise, proactive communicator and a critical thinker who sees the big picture and executes the details.

You are driven to ensure meetings are productive by using your expert calendar management and scheduling capabilities. You are comfortable serving as the face of BD&L and Legal when interacting with outside companies, academicians, investment bankers, attorneys and other important thought-leaders for visits and meetings. You are confident in providing in-depth support for Eikon's BD&L/Legal conference preparation and participation efforts. Overall, you are an enthusiastic team player with a strong work ethic.

What You'll Do

  • Work with internal stakeholders and external potential partners to schedule meetings and manage calendars
  • Comfortably interface with external scientific and business community members at all levels in a professional manner including but not limited to external potential partners, academicians, scientific thought-leaders, venture capital and private equity, consultants and attorneys
  • Proactively problem-solve and devise solutions with a “can-do”, team player attitude
  • Handle confidential information with complete discretion
  • Seamlessly prioritize multiple tasks, roll with sudden changes and remain nimble to the day-to-day functions of a rapidly growing company and busy team
  • Work well independently under pressure and seek input when needed in a timely manner
  • Partner with Eikon's Executive Assistant team to help keep Eikon's organization running smoothly by assisting with coverage, overflow, executing company programs, cross-functional events, etc.
  • Generate purchase orders, support invoice processing and confirm vendor payments
  • Book flights and hotel reservations, complete conference registrations and expense reports
  • Work with IT, HR, Facilities and other staff on behalf of those you support
  • Perform additional administrative tasks and/or special department projects as needed

Qualifications

  • 4 – 6 years of relevant experience; bachelor's degree in Business Administration, Office Management, or a related field is preferred
  • Attention to detail and digital/technical proficiency
  • Strong organizational, problem-solving, and follow-up skills
  • Experience handling highly confidential information with absolute discretion
  • High level of proficiency with MS Office Suite
  • Demonstrated abilities to communicate clearly (in writing and verbally) and collaborate effectively with team members, colleagues and external stakeholders
  • Highly developed ethics, integrity, collaboration, interpersonal and decision-making skills
  • Versatile, flexible, willing to adapt to job responsibilities as required to meet the demands and opportunities of a rapidly growing company

The expected salary range for this role is $111,000 to $121,600 depending on skills, competency, and the market demand for your expertise.
