Position Overview

Aloha Capital is seeking a highly organized and efficient Executive Assistant to support our CEO. The Executive Assistant will provide high-level administrative support to the CEO, facilitating smooth operations by managing schedules, communication, and project coordination. This role is essential to ensuring that the CEO can focus on strategic priorities, including business growth, leadership, and decision-making.

Key Responsibilities

  • Executive Support: Provide comprehensive administrative support to the CEO, including calendar/email management, scheduling meetings, and tracking follow-up items.
  • Leadership Champion: Contribute to and attend company leadership meetings, capture action items, and ensure follow-through on strategic initiatives.
  • Project Management: Assist with coordinating key initiatives and projects for the CEO, tracking progress and ensuring timely completion of tasks.
  • Communication: Serve as the primary point of contact for the CEO, managing internal and external communications, handling email correspondence, and maintaining confidentiality at all times.
  • Meeting Preparation: Prepare and organize materials for executive meetings, such as agendas, presentations, and meeting notes. Follow up on action items post-meeting.
  • Operational Support: Provide support in various operational tasks, ensuring that organizational priorities are met and that cross-functional coordination runs smoothly.
  • Stakeholder Management: Build and maintain relationships with key stakeholders, both internal and external, ensuring alignment with the company's vision and priorities.
  • Office Management: Oversee the day-to-day office operations at our Boulder headquarters, ensuring a well-organized and efficient workspace, including managing supplies, office vendors, and coordinating with building management.
  • EOS® Support: Assist in ensuring alignment with the EOS® framework by helping the CEO and leadership team manage KPIs, quarterly rocks, and Level 10 meeting agendas.

Qualifications and Experience

  • Experience: 5+ years of experience as an Executive Assistant or in a similar role, providing high-level support to C-suite executives or leadership in a fast-paced environment.
  • Communication: Excellent written and verbal communication skills, with a strong ability to manage complex correspondence and present information effectively.
  • Organization & Prioritization: Outstanding organizational skills, with the ability to handle multiple priorities and deadlines simultaneously.
  • Problem Solving: A proactive approach to problem-solving with strong decision-making skills and the ability to work independently.
  • Technology Proficiency: Proficiency in Microsoft Office programs (Word, Excel, PowerPoint), project management tools (Hub – Planner), and virtual meeting platforms.
  • Cultural Fit: Aligned with Aloha Capital's core values of accountability, authenticity, caring, and good vibes.
  • Notary Public: Certified Notary Public in the State of Colorado (or willingness to obtain certification), with experience handling official document signings and notarizations.
  • EOS® Familiarity: Experience with or willingness to learn the EOS® Traction framework.
