Job Description:

The Executive Assistant to the President and CEO provides key support in a one-on-one working relationship to the President & CEO. Importantly this position helps manage and optimize key relationships of the President & CEO with specific focus on board members, top donors, and others.

Essential Duties & Responsibilities

  • Assist in top donor management including scheduling and updating appointments, recording information gained at donor meetings, answering donor inquiries, and updating the donor database with meeting times, action steps, and other relevant donor management information.
  • Report on and communicate information about donors who are identified for strategic gift stewardship and solicitation.
  • Work closely and effectively with the President & CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
  • Is the chief liaison to the board of directors (including Gleaners Distribution Corporation) and the committees of the board, assuring appropriate organizational support for the work of the board and committe
  • Successfully complete critical aspects of deliverables with a hands-on approach, including but not limited to: drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead.
  • Manage an active calendar of appointments and meeting schedules and agendas both internally and externally as well as tracking all agreed upon deliverables.
  • Prioritizes conflicting needs; handles urgent and sensitive matters expeditiously, proactively, and follows-through on projects to successful completion.

Education & Experience

  • Bachelor's degree or equivalent work experience.
  • Minimum five years experience with demonstrated skills, knowledge and experience and expertise in supporting executive level positions.
  • Previous success working with board of directors and board members preferred.
  • Experience in multi-tasking, taking initiative, problem-solving, quickly adapting to change, and successfully working under pressure and time constraints, with attention to detail.
  • Must possess a high level of proficiency related to calendar management, prioritization, message handling and timely and appropriate communication.
  • Must possess excellent task and project management skills; utilizing a variety of resources that maximize time and allow for the successful fulfillment of the task or project.
  • Non-profit sector work experience preferred.
