A well-known venture firm with a renowned portfolio of high-profile companies is looking for an Executive Assistant to support an Operating Partner who is the Head of Portfolio Talent. This VC interacts with the who's who of business, politics, and entertainment. This is a great opportunity to be part of a collaborative, hard-working team. Provide admin support to the Head of Portfolio Talent as well as own projects such as CRM management, system building improvement, event planning, and People Ops support. This is a primarily in-office role Monday through Thursday based near SoHo in NYC, with Friday's work from home. 140-160K DOE + carry, amazing health benefits, bonus, 401k with matching, flexible PTO, lunch stipend, annual team trips, and gym in the office!Responsibilities:
- Serve as a partner to the Head of Portfolio Talent, proactively anticipating needs to protect their time and attention.
- Expertly manage calendars with an eye for detail, proactively shifting meetings and blocking time to maximize productivity.
- Coordinate and arrange meetings with key internal and external stakeholders.
- Book travel arrangements and prepare detailed itineraries. Expertly plan trip logistics and provide solutions to ensure all necessary commitments can be executed during travel.
- Create efficient processes and systems to structure projects and tasks.
- Manage and optimize CRM to track, maintain, and organize data. Implement systems to delegate tasks to the offshore team and quality control to ensure accuracy.
- Streamline approval workflows with finance and legal to ensure steps are written out, followed, and run smoothly.
- Plan events ensuring that the company brand is aligned and tailored to each event.
- Oversee gifting and cultivate unique and thoughtful client relationship-building experiences.
- Manage expenses related to travel, events, or other activities.
- Support projects related to HR, People Ops, etc.
Qualifications:
- 4+ years of experience as an Executive Assistant supporting senior leaders in a fast-paced environment.
- Exceptional communication skills both verbal and written.
- Proven ability to interact effectively with stakeholders at all organizational levels.
- Process-oriented mindset with a track record of creating efficient workflows and systems.
- Strong organization skills and detail-oriented.
- Self-motivated with a strong work ethic. You are reliable, flexible, and accountable.
- Demonstrate discretion, resourcefulness, and an ability to build relationships at all levels.
- Strong judgment and problem-solving skills to manage diverse workstreams and projects.
