Job Description:

We are seeking an experienced Executive Assistant to support a dynamic CEO. This multi-dimensional role will seamlessly integrate calendar management, travel coordination, event planning, Board communication, project management and the tactics of each day while connecting the dots to the CEO's broader strategic initiatives. The ideal candidate will thrive in a fast-paced culture, and values responsiveness, candor, humility and teamwork.

Key Responsibilities:

  • Oversee daily administrative functions of the CEOs office, including scheduling, event coordination, travel arrangements, and expense management.
  • Manage and prioritize tasks effectively to maintain a strategic focus on high-impact opportunities and multiple projects.
  • Serve as a key liaison between project teams and the CEO, facilitating communication and alignment on strategic objectives.
  • Prepare for board meetings, provide updates, and coordinate follow-up actions on strategic initiatives.
  • Ensure that Executive Team meetings are well-organized and that action points are effectively implemented.
  • Create project documentation, reports, and presentations for both internal and external stakeholders, including board members and investors.
  • Collaborate with cross-functional teams to execute project activities, ensuring timely and successful delivery.
  • Assist in developing project plans, timelines, and budgets, monitoring progress toward strategic goals.
  • Identify potential project risks and issues, escalating them as needed to ensure timely resolution.
  • Manage communications related to projects and foster collaboration among internal teams and external partners.

Qualifications:

  • Bachelor's degree in a relevant field.
  • 10-15 years of experience as an Executive Assistant, preferably within the tech sector.
  • Availability outside regular hours for urgent requests.
  • Experience in start-ups, multinational firms, or management consulting is highly desirable.
  • Experience incalendaring, board administration, travel arrangements, expense management, and project management skills
  • Proven ability to work closely with senior executives, maximizing meeting efficiency and strategic outcomes.
  • Strong communication skills for engaging with diverse stakeholders.
  • Proficiency in Microsoft Office Suite and digital collaboration tools.
  • While the role is fully remote, candidates must be based in/near the Bay Area.
  • Physical Demands of the position may include occasional lifting of light items.

Preferred Qualifications:

  • Strong analytical skills to create insights and summary reports that inform strategic decision-making.
  • Experience in cross-functional collaboration, particularly in global team environments.
  • Project Management Professional (PMP) certification is a plus but not required.
