Executive Assistant to the Chief Executive Officer

We are seeking an experienced and detail-oriented Executive Assistant to provide comprehensive support to our Chief Executive Officer (CEO). The successful candidate will play a pivotal role in coordinating executive activities and managing day-to-day operations. As the Executive Assistant to the CEO, you will be responsible for ensuring the smooth and efficient functioning of the executive office and maintaining the utmost confidentiality of sensitive information. This position requires a self-starter who can manage multiple tasks, anticipate the needs of the CEO, and provide exceptional administrative assistance.

Responsibilities:

  • MUST HAVE RELIABLE TRANSPORTATION AND A FLEXIBLE SCHEDULE DURING THE WEEKDAYS UNTIL 6:30PM; SOME WEEKENDS MAY BE NEEDED OCCASIONALLY.
  • Coordinate both onsite and offsite meetings, including arranging transportation, selecting suitable locations, and communicating with attendees, which may include employees and external clients. Keep the CEO updated on the progress of projects. Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Manage and maintain multiple active calendars to ensure efficient scheduling and time management for the CEO.
  • Track all credentialing applications, from submission through final approval, following up with each Insurance Payer on a routine basis to obtain application status, as well as moving the credentialing process forward.
  • Manage the flow of day-to-day operations.
  • Oversee the end-to-end credentialing process of all new and current providers, and with all contracted Insurance companies in multiple states.
  • Request all documentation required from clinicians to ensure the timely submission of all credentialing applications, including but not limited to licensure, CAQH, rural health, and other accreditations, DEA and other certifications.
  • Initiate credentialing and re-credentialing applications for all payers and plans, both individual and group.
  • Ensure all providers are added to the appropriate Insurance existing group contracts.
  • Maintain a spreadsheet of all providers and their associated credentialing and contracting information, including expirations, paying close attention to detail.
  • Communicate with management and providers regarding impending expirations of credentialing for all providers associated with each Insurance provider.
  • Participate in various department and client meetings to provide feedback and address issues relating to the credentialing process.
  • Work alongside the CEO to manage emails/inbox and prioritize associated requests. Draft and proofread emails, letters, memos, reports, and other documents. Transcribe dictations describing business travel and events.
  • Maintain confidentiality and professionalism in all communications.
  • Provide critical executive-level support by creating and editing presentations, spreadsheets, and other documents.
  • Schedule and coordinate domestic travel for the CEO, including creating itineraries.
  • Uphold the utmost discretion and confidentiality of all data and information transpired within the executive office.
  • Assist with personal tasks and errands for the executive when required.
  • Work independently and as part of a team on special projects, including planning and coordinating presentations and direct mailings.
  • Greet visitors and determine appropriate access to specific individuals.
  • Build and maintain positive working relationships with internal and external stakeholders, including clients, partners, and board members.
  • Be proactive in identifying potential issues and finding solutions to challenges that may arise in the executive's day-to-day activities.
  • Content Creation/Social Media Management experience a plus!
  • Provide administrative support to the CEO and Administrative team (as needed) for general office duties. Responsible for credentialing and physician files.
  • Provide personal support to CEO as required, including managing appointments, making reservations, and assisting with other miscellaneous tasks. Assist with planning social events. Coordinate with external service providers as appropriate. Provide basic tech support to the CEO.
  • Manage household systems and address ongoing needs by identifying/selecting the appropriate vendors, defining scope of services and rates, and coordinating logistics amongst all relevant parties. Keep contact lists accessible and up-to-date. Work alongside the house manager to ensure the CEO's primary residence and additional residences are maintained and in proper working order.

Qualifications:

  • Minimum 5 years' experience supporting C-level executives.
  • Excellent written communication skills.
  • Proficiency in MS Office suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Experience using OneNote.
  • High attention to detail and accuracy.
  • Self-starter with the ability to work with minimal supervision.
  • Proactive and assertive, capable of taking initiative when necessary.
  • Highly organized with the ability to manage multiple projects in a fast-paced organization with shifting priorities.

Job Type: Full-time

Pay: $16.00 - $20.00 per hour

Expected hours: 40 per week
