Job DescriptionThe Executive Assistant to the Chief HR Officer is a role that embodies professionalism, discretion, confidentiality, and collaboration. It's a highly responsible—and highly rewarding—supportive role; one that demands a mastery of time management and legendary strong organizational skills. Maintaining the CHRO's daily schedule, identifying and prioritizing critical activities, organizing meetings and special events across several calendars, crafting professional correspondence, and providing great customer service are just a few of the duties essential to this role. You'll do all of this while supporting the CHRO and the entire HR team at our iconic Washington DC headquarters.Motivation:

Responsibilities:
  • Providing administrative support to the CHRO
    • Organize and manage daily operations in support of the CHRO
    • Arrange and schedule meetings, answer phones, and draft correspondence
    • Maintain confidential files and reports, and provide general administrative support as needed
    • Manage a heavy volume of requests from internal and external clients
    • Answer questions, resolve problems where possible and make appropriate referrals
  • Supporting the HR department on administrative tasks
    • Perform general administrative tasks, such as ordering supplies and working with other departments as needed to keep the office running smoothly
    • Maintain logistical support for a 30-person team
    • Schedule team meetings, arrange catering and supplies
    • Support HR leaders with administrative, calendar, and ad hoc administrative tasks
    • Book travel and accommodations
    • Provide budgeting support and process invoices
  • Planning & executing large scale events
    • Plan and execute certain company-wide employee events, including our Summer Social, typically attended by 600-1000 employees
    • Manage and coordinate with events vendors (catering, vendor booths, games, bands, etc.)
    • Create memorable experiences at employee events with thoughtfully curated prizes, vendor selections, and engagement
    • Plan and execute our annual Eugene Meyer & Ben Bradlee Awards which bestow our highest honor to a select group of employees each year
Qualifications:
  • 3 or more years of experience as an executive assistant preferred
  • Excellent organizational and administrative skills
  • Ability to multitask and prioritize workload with minimal supervision
  • Outstanding interpersonal skills and customer service
  • Expertise with Microsoft Office products and ability to quickly learn new software tools and systems
  • Excellent editing and proofreading skills
  • Ability to interact professionally at all internal/external levels
  • Ability to maintain confidentiality of sensitive business and HR matters
  • Ability to work fast and well under pressure
  • Strong service orientation and good judgment
