About this roleWe are seeking a highly organized and proactive Executive Assistant to support our Chief Technology Officer (CTO) in managing a wide range of administrative tasks. The Executive Assistant to the CTO will play a crucial role in ensuring the smooth operation of the CTO's office by providing comprehensive administrative support. This includes travel booking, event planning and preparation, daily summary emails, scheduling, calendar management, coordination with various departments, and more.This role will report to the Chief of Staff to the CTO. This will be a contract to hire position. Your responsibilities
  • Coordinate and book domestic and international travel arrangements, including flights, accommodations, and transportation
  • Plan and execute company events, conferences, and meetings, ensuring all logistical details are handled efficiently.
  • Prepare and send daily summary emails to the CTO, highlighting key meetings, tasks, and updates.
  • Manage the CTO's calendar, schedule meetings, and ensure that all appointments are coordinated effectively across different time zones
  • Liaise with internal and external stakeholders to coordinate meetings, projects, and other activities.
  • Handle a variety of administrative tasks, including preparing reports, managing correspondence, and maintaining confidential files.
  • Track and manage the CTO's expenses, ensuring accurate and timely reimbursement.
  • Provide support for special projects as assigned by the CTO, including research, data collection, and report preparation.
  • Screen and prioritize incoming communications, including emails, phone calls, and messages, to ensure the CTO's time is used effectively.
  • Prepare and edit documents, presentations, and reports as needed.
  • Coordinate with vendors and service providers to ensure timely delivery of goods and services.
  • Assist in maintaining office supplies, equipment, and facilities to ensure a productive work environment.
  • Provide administrative support to the CTO's direct reports and team members as needed.
  • Coordinate and assist in the management of the schedules of other Engineering, Product, and Design (EPD) team members as needed.
  • Work closely with the Chief of Staff to align schedules, coordinate meetings, and ensure seamless communication between the CTO and other executive team members

  • Proven experience as an Executive Assistant or similar role, preferably in a technology or corporate environment.
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal skills.
  • Proficienc in Google Suite and calendar management tools.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Discretion and ability to handle confidential information.
  • Strong problem-solving skills and attention to detail.
  • Ability to wear many hats and juggle multiple tasks at once.
