The Executive Assistant to the GMis responsible for initiating, planning, and executing a broad range of strategic executive-level projects while simultaneously providing senior-level executive assistance to the General Manager (GM), North America. The Executive Assistant to the GMwill contribute to a high performing work culture and play a crucial role in enabling the GM to execute duties with high effectiveness and efficiency. TheExecutive Assistant to the GM will be responsible for administrative and executive support tasks, in addition to managing complex project deliverables for the sales team, company leaders, and other key stakeholders. Responsibilities
- Project Management: Assume ownership over small- and large- scale projects as directed by the GM.Identify and manage project risks, issues, and opportunities proactively. Ensure deliverables are on time, on budget, and high quality. Plan, organize, and oversee various tasks, resources, and key players for successful completion of projects.
- Strategic Support: Act as a strategic partner to the GM and provide proactive solutions to streamline processes and contribute to the company's success. Provide clear, concise, accurate, and timely status updates on various projects. Conduct research, prepare reports, and handle sensitive information that influences company decisions. Provide dedicated support to Sales Directors and perform other administrative tasks as assigned by the GM.
- Communication Management: Prepare and edit written correspondence, reports and serve as the first point of contact for the GM. Act as a liaison between the executive and the Sales Team, other departments, employees, and external stakeholders. Assess, filter, and prioritize incoming information and requests for GM review, engage in high-level communication with internal and external stakeholders, and respond to inquiries and requests while maintaining strict adherence to clearance protocols, procedural guidelines, and organizational discretion.
- Document Preparation: Organize and prepare spreadsheets, reports, business proposals, slide decks, and other critical documents for diverse audiences on behalf of the GM. Effectively gather information, deduce insights, translate ambiguities, ask clarifying questions as needed, and present concepts coherently in a visually appealing and compelling format.
- Meeting Coordination: Ensure all business meetings are flawlessly executed, including coordinating calendars, reserving rooms, setting up videoconferencing equipment, and preparing and distributing agendas, presentation materials, slide decks, etc. Take meeting notes and complete all post-meeting follow-up on outstanding tasks.
- Calendar & Travel Management: Manage the GM's calendar, including scheduling appointments, meetings, and events. Arrange travel and manage itineraries, including flights, accommodations, and transportation.
- Expense Reporting: Manage the GM's expenses by collecting and organizing receipts, ensuring timely submission of expense reports.
- Keep all sensitive matters confidential
- Other duties as assigned
Knowledge, Skills and Abilities
- Excellent organizational and time-management skills, with proven success in mastering prioritization and managing multiple tasks under high pressure with attention to detail
- Ability to work independently, show initiative, and proactively solve problems
- Strong interpersonal skills; ability to build rapport and leverage strategic partnerships with internal and external stakeholders to accomplish goals
- Ability to implement constructive feedback and willingness to augment approach to meet the evolving business needs
- Excellent written and verbal communication skills, with a high level of professionalism
- Enthusiastic, positive person who embraces work with a sense of urgency and persistence
- Flexibility to work outside of core business hours as needed
Education and Experience
- Associates Degree in Business Administration or relevant field required, Bachelor's degree preferred
- Five (5) to seven (7) years of experience as an executive assistant, project manager or similar role supporting C-level executives, preferably in the consumer product industry
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook, etc.) and Adobe Acrobat required
- Experience with Concur and SAP preferred

The salary range for this posted position is $70,000 - $90,000 (plus bonus & benefits) and pertains to candidates located in Western New York. Actual compensation is determined by a wide array of factors including but not limited to skill set, education, essential job duties and requirements, and necessary experience.
