This role supports high-level executives by managing schedules, preparing documents, and facilitating communication, contributing to the smooth operation of the executive office.Job Responsibilities
  • Provide high-level administrative support to the Head of Global Communications, including calendar management, travel and expense reporting.
  • Manage and organize the executive's calendar, including scheduling appointments, meetings, and travel arrangements.
  • Handle confidential information with utmost discretion and professionalism.
  • Collect, review, analyze, interpret, enter and format accurate data into intranet, spreadsheets, databases and other electronic tools.
  • Gathers input for budgets; tracks and updates budget forecasts; prepares reports for the department summarizing budget status.
  • Prepare and edit correspondence, reports and presentations.
  • Coordinate and manage communication between the executive and internal/external stakeholders.
  • Assist in the preparation of events, town-halls, presentations within Global Communications on behalf of the leader.
  • Facilitate smooth and efficient communication within the team and across different departments.Required Skills and Qualifications
    • Proven experience as an executive assistant or other relevant administrative support experience.
    • Excellent time management skills and ability to multi-task and prioritize work.
    • Strong organizational and planning skills in a fast-paced environment.
    • Proficiency in MS Office (MS Excel and MS Outlook, in particular).
    • Excellent written and verbal communication skills.
    • Attention to detail and problem-solving skills.
    • Bachelor's degree; additional qualifications as an Executive Assistant or similar role is a plus.Preferred Qualifications
      • Experience in corporate affairs or communications.
      • Interest in global health and or technology.For Location: Boston, MAU.S. Hourly Wage Range: $40.38 - $63.46The estimated hourly wage range reflects an anticipated range for this position.
