We are seeking a highly organized and proactive Executive Assistant to support our dynamic and high-performance President. This role requires a versatile individual with exceptional time management and communication skills to handle a diverse range of responsibilities. The ideal candidate will be a strategic thinker who can anticipate needs, prioritize tasks, and maintain a high level of confidentiality.
Key Responsibilities:
Executive Calendar Management:
- Proactively manage the President's complex and often changing calendar, scheduling meetings, appointments, and events.
- Prioritize and coordinate meetings, ensuring optimal time management and efficient use of the President's schedule.
- Anticipate potential issues and proactively address them, demonstrating a sense of urgency and resourcefulness.
- Coordinate with internal and external stakeholders to schedule meetings and calls.
- Quickly familiarize yourself with the President's contact list, understanding the relationships and priorities between internal stakeholders and external business partners.
Project Management:
- Assist the President in managing various projects, from initiation to completion.
- Track project timelines, milestones, and deliverables and constantly providing reminders regarding deadlines, timetables and when deliverables must be completed.
- Coordinate with cross-functional teams to ensure project success.
- Assist President to prepare project reports and presentations when requested.
Communication and Correspondence:
- Draft and proofread correspondence, including emails, letters, and presentations.
- Respond to inquiries and requests on behalf of the President.
- Manage incoming and outgoing communications, filtering and prioritizing as necessary.
- Prepare meeting agendas, minutes, and follow-up actions.
- Greeting visitors and deciding if they should be able to meet with executives.
Administrative Support:
- Manage and maintain the President's files and records.
- Handle expense reports and reimbursements.
- Screen and direct phone calls and emails.
- Coordinate office supplies and equipment.
- Assist with personal tasks, as needed, such as scheduling appointments or managing personal correspondence.
- Reading and analyzing incoming memos, submissions, and distributing them as needed.
- Knowledgeable about how to prepare financial statements, reports, memos, invoices letters, and other documents.
- Responsible for handling basic bookkeeping tasks.
- As needed, filing and retrieving corporate records, documents, and reports.
- Accurately recording minutes from meetings.
Strategic Support:
- Conduct research and analysis on various topics as required.
- Prepare presentations and materials for board meetings, investor meetings, and other important events.
- Provide strategic insights and recommendations to the President.
- Stay informed about industry trends and competitive landscape.
Travel Coordination:
- Arrange domestic travel, including booking flights, accommodation, and ground transportation.
- Prepare detailed travel itineraries with timing, parties of interest and personal details as necessary to ensure smooth travel days.
- Manage travel expenses and reimbursements.
Qualifications:
- Cannabis experience preferred but not required.
- Bachelor's degree or equivalent experience.
- Minimum of 2 years of experience as an Executive Assistant or similar role.
- Proven ability to manage multiple tasks and prioritize effectively.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Comfortable with learning new software and programs
- Detail oriented and able to manage multiple competing priorities
- Experience with scheduling and calendar management tools.
- Ability to maintain confidentiality and discretion.
- Flexible with handling continuous change.
- Strong attention to detail.
- Ability to work independently and as part of a team.
- Flexibility to work irregular hours, including evenings and weekends, as needed.
- Strong track record of effective collaboration in a fast-paced, objective focused environment
Physical Requirements
- Able to travel to meetings as necessary.
- Able to lift 25-50lbs.

- Able to grasp, push, pull.
- Clear vision, speech and hearing.
- Able to work on a computer up to eight (8) hours a day.
- Able to demonstrate all physical aspects of the job.
Compensation
- $75,000.00 - $95,000.00, annually, or more depending on experience.
