Job Description:

Our client, a New York-based family office investing in businesses and managers across a wide range of asset classes and geographies, is currently seeking an Executive Assistant to directly support the firm's President.

This is a NYC based role with 4 days on-site.

Responsibilities:

  • Manage executive's calendar, scheduling internal and external meetings and phone calls, potential personal appointments, etc.
  • Coordinate business and personal travel arrangements including flight schedules, car bookings, and hotel reservations.
  • Manage all note taking and digital transcribing.
  • Manage phone calls, providing appropriate screening and taking messages as needed.

Candidate Qualifications:

  • Bachelor's degree required
  • At least 5-10 years of experience in an administrative support role, ideally supporting Founder/President/C-Suite Executive
  • Ability to work in a dynamic and professional environment
  • Capable of adjusting in various environments while exhibiting resilience and pivoting quickly between tasks
  • Strong work ethic and ‘can do' attitude: motivated, flexible, and able to maintain composure at all times
  • Comfortable and experienced liaising with internal and external contacts at a variety of levels
  • Superior experience and competency with Microsoft Office, including Outlook, Excel, Word, and PowerPoint; strong comfort level learning to use other internal software tools
  • Excellent written & oral communication skills; strong attention to detail when taking notes, communicating with various contacts, and all other tasks
