For further information about 115c, please refer to Session Law 2023-10.*The Eastern North Carolina School for the Deaf (ENCSD) is a state school serving the 54 easternmost counties that provides a specialized learning environment for deaf and hard of hearing students, kindergarten through 12th grade, following a typical school calendar. The ENCSD offers students an academic setting with standards-based instruction, low classroom ratios, career and vocational skills development, current technology, and an overall accessible environment for learning through American Sign Language. The ENCSD seeks to promote both intentional and experiential learning to provide continued advancement in student academic achievement and social/emotional well-being.The major purpose of this position is to provide clerical/secretarial services to the School Director. This position is responsible for managing School Director's calendar, answering phone, and taking messages, scheduling meetings, scheduling conference calls, attending meetings and taking minutes to be distributed, typing minutes and correspondence, filing and keeping notebooks on important information for easy access, completing travel authorization forms & reimbursement forms, scheduling use of state vehicle for School Director.This position works Monday through Friday, 8:00 am - 4:30 pm, 12-month position. Flexible hours may be required as needed by the school calendar or the needs of the program or students.ESSENTIAL DUTIES:Daily contact with supervisor concerning duties to be performed daily or weeklyCreate and prioritize daily tasks and plan work scheduleScreens and greets visitors, staff, and studentsCompiles and maintains paperwork for the School DirectorSchedules meetings for the School DirectorSchedules meetings for staff and students to see the School DirectorMake phone calls as deemed by the School DirectorTakes notes/minutes at all meetings, types and disseminates minutesAssist with reports requested regarding school and studentsPerforms and completes other specific work projects or related duties assigned by the School DirectorHandles all flight arrangements for Director and visitorsComposes letters or memos to staff, parents, outside agencies, etc., when requested by the Director. May be written or verbal request.Developed and maintains Organization Chart of staffProofreads and re-words documents as neededMaintains files by subject and reorganization of files as necessarySpreadsheets are very important for this position to keep data and reports updatedMaintains in-coming and out-going mail, opening, dating and placing in the order of importance for the DirectorTypes work-orders for repairs and requisitions for purchases as neededCreates acknowledgment correspondence and thank you notes for donationsThis position has daily contact with a variety of staff in most departments in this agencyHas personal contact with staff when scheduling appointments with the Director, scheduling meetings for the DirectorThis position has contact with the general public when answering the phone or answering questions from outsiders concerning the school, its function and procedures and when necessary, referring questions to the appropriate personnelPublic contact also includes scheduling meetings and greeting visitorsThis position maintains all active graduate and former student records, which upon request and with proper authorization, must copy and mail to the appropriate person or schoolBack-up for switchboard as neededAssist with scheduling staff developmentDemonstrated knowledge in the performance of administrative tasks. Such task includes interpreting information to others and conveying information through media, utilizing modern office equipment and other relevant technology and skill in presenting ideas and information effectively in written form.Management will give preference to applicants who have at least 3 years previous experience working in an administrative role in a school/educational setting, or applicants who have 3 years' experience working as an assistant to an Executive Leadership position, a CEO or Company President.Management will also give preference to individuals who possess the skill of communicating effectively using American Sign Language.High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.The ENCSD offers students an academic setting with standards-based instruction, low classroom ratios, career and vocational skills development, current technology, and an overall accessible environment for learning through American Sign Language. A boarding program is available for enrolled students residing outside of Wilson County.
