Position Type: Secretarial/Clerical/SecretaryDate Posted: 11/20/2024Location: Palmyra Area School DistrictDate Available: On or after 02/01/2025Closing Date: 12/02/2024This is a 260-Day Executive Assistant to the Superintendent and Director of Business Affairs which falls under the Confidential contract. This position will begin on or after February 1, 2025. Job Overview: This position is responsible for providing clerical, coordination, and support functions to the Superintendent and Director of Business Affairs in a manner that is professional, diplomatic, and complies with confidentiality requirements. This position works 260-days per year. Our leadership team has the ability to function cooperatively in an ever changing, fast paced environment. Working as a collaborative team member is essential. Advanced secretarial and computer skills are required, with knowledge of computer applications including but not limited to: Microsoft Office, PowerSchool, Outlook, and Google Applications. Excellent organizational skills are required with attention to deadlines. Candidates must maintain confidentiality and have the ability to cooperatively work with administration, staff, students, families, and the community. Responsibilities:
  • Assist the Superintendent and Director of Business Affairs with immediate, short-term, and long-term projects.
  • Prepare documents of all items related to the Board of School Directors including, but not limited to: meeting agendas and materials for Board meetings, Board minutes, Board meeting calendars, Board Reorganization, Board Appreciation, Palmyra Pride, submitting legal advertisements for communication including Board meeting changes and bid advertisements, etc.
  • Assist the Right-to-Know Officer with Right-to-Know Requests, meeting timelines, and maintaining Right-to-Know log.
  • Assist, track, and maintain updates in all areas with Board Policies and Administrative Regulations.
  • Manage the homeschooling, privately tutored, cyber charter school, and tuition-paying student process, and track and maintain child accounting records.
  • Support professional teacher processes including, but not limited to: collect/record teacher evaluations, monitor teacher Information Management System (TIMS), assist with the Level II certification process, continuing education paperwork processing, maintain database for salary step schedules, oversee teaching certifications including emergency permits, etc.
  • Coordinate use of district office and meetings
  • Complete annual review process for Title IX reports from Athletic Booster Club officers, Athletic Complex sponsorships. Statement of Financial Interest/State Ethics Forms, student disciplinary log, and all commissioning paperwork for Superintendent/Assistant Superintendent(s) and updates information in PDE's EdNAv2 and FRCPP systems.
  • Support the Cougar Foundation in preparing meeting agendas, uploads documents for meetings including, but not limited to, grant requests, grant evaluations, grant tracking database, etc. Assist with special projects and correspond with the local municipalities regarding representation on the Cougar Foundation's Board of Trustees.
  • Maintain confidentiality with all district information, including district and school population information.
  • Perform other duties as assigned by the Superintendent and Director of Business Affairs.
Qualifications:
  • High school diploma or equivalent is required.
  • A minimum of three (3) years' experience as an administrative assistant/secretary for a leadership position.
  • Previous experience/background working in school is preferred.
  • A valid driver's license is required.
  • Excellent organization, computer, and communication skills (both written and verbal) are required.
  • The ability to work in a fast-paced environment is required.
  • Flexibility in completion of tasks with prioritizing multiple calendars, handling phones, and emails.
  • Takes pride in ensuring excellent overall parental and community relations.
Additional Information:
  • Working hours are typically 8:00 AM - 4:00 PM, Monday - Friday.
    • During the summer the working hours will be 4, 10-hour workdays.
  • Minimum starting rate of $25.95, midpoint $30.48, and maximum $35.00 per hour - credit will be given for relevant experience.
