Executive CoordinatorThe Lexicon Executive Coordinator will be responsible for managing complex calendars, coordinating high-impact projects, and organizing key company events. The Executive Coordinator's ability to anticipate needs, handle sensitive information with discretion, and communicate effectively will be crucial. The Executive Coordinator plays a vital role in enhancing the efficiency and productivity of the Lexicon executive leadership team and making a significant impact on our company's growth and success.About Us Lexicon is a legal services and technology provider with deep expertise in the legal industry. - Executive Leadership Support:
- Schedules and manage appointments, meetings, and events for the Executive Leadership Team.
- Assists the Executive Leadership Team with various projects and tasks.
- Manages and administers the Executive Leadership management platform.
- Prepares meeting agendas, takes minutes, and follows up on action items.
- Coordinates the operations of the internal Travel Management Platform.
- Executive Project & Event Coordination:
- Assists in planning, executing, and monitoring executive projects.
- Prepares and distribute project documentation and reports.
- Coordinates quarterly Executive Leadership Team Summits.
- Assist in the logistics and planning of the annual holiday party.
- Provides ad hoc assistance in the logistics and planning of all other company events, as needed.
- Company Events & Recognition:
- Orders and coordinates company lunches, in relation to the monthly Company Meetings.
- Plans and organizes anniversary celebrations and recognition.
- Coordinates with payroll to ensure any anniversary gifts are taxed under applicable state or federal law, as required.
- General Administrative Coordinator:
- Serves as general administrative support to the Executive Leadership Team, as needed.
Requirements:
- Required Education:
- High School diploma, or some college education preferred, but not required.
- Minimum Years of Experience:
- 5-7 years as an Administrative Coordinator, Personal Executive Coordinator, or similar role.
- Demonstrates experience in planning and coordinating events for varying number of attendees and stakeholders.
- Skill Requirements:
- Strong analytical and problem-solving abilities.
- Proficiency in project management software.
- Advanced skills in Microsoft Office Suite (Excel, PowerPoint, Word)
- Excellent verbal and written communication skills.
- Ability to work independently and collaboratively, in a team environment.
- Detail-oriented with strong organizational skills.
- Ability to manage multiple tasks and projects simultaneously.
