Busy executive seeks strong support from a qualified, educated executive assistant that is able to manage across a wide range of professional and personal projects. Responsibilities will span professional support for financial services firm, engagement in a variety philanthropic commitments and personal financial affairs.
Responsibilities
- Manage professional and personal scheduling, including agendas, mail, email, phone calls, client management, and other company logistics
- Coordinate scheduling and calendar management, as well as content and flow of information to team members and clients
- Manage travel logistics and activities
- Provide administrative support, including project tracking, spreadsheet creation, and maintenance of filing system and contacts database
- Organize team communications and plan events
- Coordinate and manage personal affairs including travel, homes, cars, insurance, payments and philanthropic activities
- Maintain professionalism and strict confidentiality with all materials
Required Skills & Qualifications
- Two or more years of experience in an administrative role supporting senior executive(s)
- Excellent written and verbal communication skills
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
- Proficiency with office productivity tools and an aptitude for learning new software and systems
- Flexible team player
- Ability to maintain confidentiality of information related to the company and its employees
Preferred Skills
- Experience with project management and tracking software
- Creation of spreadsheets for budgeting and other tracking purposes
- Knowledge of Salesforce.com
- Knowledge of financial services industry
- Comfort with budgeting, negotiation and contracting
Location
Preferred location is Northern Nevada, encompassing Truckee, Tahoe, Reno, or Carson City. Work week could be split between in-office and at-home.
