Job Description:
Chipton-Ross is seeking an Executive Office Assistant for a contract opportunity in New Canaan, CT.*This position is 100% ONSITE.RESPONSIBILITIES: Support the Treasurer within the Finance and Corporate Audit organization. We are looking for individuals with exceptional time management skills who are willing to take initiative. Regular and predictable attendance is required.POSITION RESPONSIBILITIES:o Coordinates and processes domestic and international business travel arrangements, monitors designated business traveler's logistics, generates expense reports and assists in reconciling corporate credit card charges to ensure timely and accuratereimbursement and verifies payments to corporate credit cardso Collects and compiles data to provide visibility of status for traveler's review and/or signature; creates, edits and maintains electronic and written communicationo Tracks and maintains information relative to department and business operations; communicates a wide variety of information to multiple audienceso Processes and screens incoming and outgoing communication and correspondence to ensure proper dissemination of informationo Prioritizes and schedules management-level employee time and availability for efficient use of time; tracks and maintains designated conference room scheduleso Coordinates with the appropriate focals to support the acquisition and maintenance of resourceso Orders and maintains office supplies; plans and implements logistics for senior executive level internal and external eventso Provides guidance to less experienced employees; works under minimal supervisionHARD REQUIREMENTS:If hired, successful completion of training is a contingency for this assignment. REQUIRED SKILLS/QUALIFICATIONS:o Developing and/or maintaining integrated schedules in outlooko Experience coordinating and processing domestic and/or international travel arrangementso Proficient in working with Microsoft products - Word, Excel, Outlook, and PowerPointo Experienced with administrative support at vice presidents levelo 3+ years of experience developing and/or maintaining integrated scheduleso 3+ years of experience working with Microsoft Word, Excel, Outlook, and PowerPointo3+ years of experience providing administrative support to multiple customers such as vice presidents, directors, and managerso 3+ years of experience coordinating and processing domestic and/or international travel arrangementsDESIRED SKILLS/QUALIFICATIONS: o Associate's or Bachelor's degreeo 5+ years of experience in partnering with executives to develop & manage operating rhythm/cadence for executive leadershipteamso 5+ years of experience collecting, interpreting data, and managing high level projects for executives or senior leadershipo Experience managing & organizing multiple deliverables and deadlines with minimal directiono Knowledge of financial services, investment banking & capital marketsEDUCATION: Accredited education/experience typically acquired through basic education (e.g. High School diploma/GED) and typically 7 or more years' related work experience or an equivalent combination of education and experience (e.g. vocational school/Associate + 5 years' related work, Bachelor + 2 years' related work, etc.). In the USA, ABET accreditation is the preferred, although not required, accreditation standard.TRAVEL: YES Domestic travel to other client sites may also be expected on occasion for training, meetings, etc.FULL TIME/FIRST SHIFT WORK HOURS: 7:00 AM - 4:00 PM
