Work Experience:
- Three years of experience in administrative support, including:
- Use of office software (e.g., email, word processing)
- Provision of customer service
- Business writing
- Management of an office
Job Duties:
- Open, read, route, and distribute incoming mail or other materials
- Answer telephone calls, take messages, and transfer calls as necessary
- Greet visitors and handle inquiries or direct them to the appropriate individuals
- Track and coordinate assignments
- Set up and manage filing systems, both paper and electronic
- Schedule and confirm appointments for clients, customers, or supervisors
- Coordinate conferences, meetings, or special events
- Complete forms in accordance with agency procedures
- Make copies of various documents and distribute them to appropriate staff
- Compose, type, and distribute meeting notes, correspondence, and reports
- Provide services to customers, such as order placement or account information
- Review work for correct spelling, grammar, and adherence to office format policies
- Manage projects or contribute to committee or team work
- Mail various items and prepare packages for shipping
- Order and distribute supplies
- Create conference or event materials such as flyers or invitations
- Establish work procedures or schedules and keep track of the daily work of clerical staff
- May supervise other clerical staff and provide training and orientation to new staff
- May take meeting minutes and prepare material from dictation
Preferred Skills:
- Proficiency in various information technology applications such as email, database, spreadsheets, and word processing
- Ability to operate office equipment such as printers, scanners, and copiers
- Experience with scheduling and event calendars
- Strong organizational skills and attention to detail
- Ability to multitask and prioritize tasks effectively
- Excellent communication skills, both verbal and written
- Previous experience in project management or team collaboration is a plus
