DescriptionThe City of Springfield is looking for a confident executive administrative professional to serve as the Executive Secretary for the Director of Human Resources.What to expect:The Executive Secretary for Human Resources will perform a high level of complex administrative support duties and work directly with the Director of Human Resources. This role is pivotal for the overall success of the Human Resources department. The HR Executive Secretary fully manages the Director's calendar, coordinates Personnel Board activities, communicates and coordinates with various City departments, including the offices of the City Manager and City Attorney, prepares and executes highly confidential documents, and coordinates with the City Clerk on department records retention needs as well as the preparation of other documents.Due to the nature of the role, the ideal candidate will have a commitment to confidentiality, exhibit a strong attention to detail, ability to oversee an operating budget of about 2.5 million with multiple accounts, strong verbal and written communication skills, and a strong proficiency with Microsoft Office, Oracle, and/or similar computer applications.What you'll do:* Provide a high level of executive administrative support to the Director of Human Resources.* Handles sensitive, confidential and complex administrative items on behalf of the Director* Coordinates department financial processing and budget monitoring.* Prepares a variety of correspondence and reports.* Coordinate activities for the Personnel Board.* Personal contact with representatives of other departments, agencies, and outside consultants.* Strategize and problem-solve collaboratively.What you'll need:* Experience coordinating responsible and complex administrative support functions.* Strong verbal and written communication skills.* Excellent planning and organization demonstrated abilities.* Demonstrated experience using professional interpersonal skills.* Ability to maintain a high level of confidentiality and utilize good discernment and decision-making.What you'll love:* Teamwork:Our HR team is collaborative, supportive, and diverse!* Impact:This role makes a difference every day through supporting the Director as well as other HR Team members.* Benefits: Pension & health insurance provided at no cost to the employee, plus generous leave time, a wellness program, andmore!* Professional Development: We want our employees to grow through training, conferences, tuition reimbursement, and more.Our Mission:The Human Resources Department is committed to hiring, compensating, and developing the city's workforce to ensure its ability to serve the citizens by strategically partnering with other city departments.
