Position Overview
The Division of Developmental Disabilities is seeking to hire an Executive Secretary III for the Choate Mental Health and Developmental Center located in Anna, Illinois to perform confidential secretarial functions for Facility Director and other designated administrative/professional staff. Keyboards legal documents, contracts, plans for changes in organizational structure, budget documents, program and policy/procedure recommendations, personnel evaluations and other documents having impact on facility and network issues and operations. Represents the Facility Director through routine and oral contact with other facility staff, Department officials, local businesses, community agencies, and the general public providing information concerning rules, policies, procedures and proper submissions of documents applicable to the facility.
Essential Functions
* Performs confidential secretarial functions for Facility Director and other designated administrative/professional staff.
* Represents the Facility Director through routine and oral contact with other facility staff, Department officials, local businesses, community agencies, and the general public providing information concerning rules, policies, procedures and proper submissions of documents applicable to the facility.
* Serves as a resource to other office staff, providing guidance and direction.
* Composes replies to routine correspondence and requests for information for the Facility Director.
* Participates as a member of the Facility's Management and Administrative Staff Executive Council, develops and distributes agenda, prepares and distributes minutes and maintains a file of Council minutes and distributes timely.
* Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
* Requires knowledge, skill and mental development equivalent to completion of two (2) years of secretarial or business college and three (3) years of secretarial experience or completion of high school and five (5) years of secretarial experience.
* Requires the ability to keyboard accurately at 55 wpm.
Preferred Qualifications
* Two (2) years of experience effectively communicating in written or oral formats and coordinating the day-to-day activities that lead to greater efficiencies and effectiveness for a director in a public or private organization.
* Two (2) years of experience working in a public or private organization maintaining confidentiality and handling sensitive information with professionalism.
* One (1) year of experience meeting deadlines with strong attention to detail while multitasking multiple projects.
* Three (3) years of experience conducting special projects which include evaluating existing and proposed programs, policies and procedures for a public or private organization.
* Two (2) years of experience researching and developing correspondence to internal and/or external individuals utilizing composition, grammar, spelling and punctuation in the development and review of documents, including reports, spreadsheets and presentations.
* Three (3) years of experience coordinating meeting arrangements, including the maintenance of calendars and making travel plans.
