Work Shifts 8:00 A.M - 4:00 P.M Job Description PURPOSE OF POSITION Under the direction of the Chief Nursing Officer, performs dictation, transcription, preparation of correspondence, handling of telephone calls, and arrangement of appointments, maintenance of files and office routines and procedures. SUMMARY OF DUTIES AND RESPONSIBILITIES 1. Executive Secretary to the Chief Nurse Executive/Patient Care Services. 2. Acts like liaison between the administrator or executive, subordinates or others, by transmitting directives, instructions and assignments and follow up on the status of assignments. 3. Greets and screens visitors/callers. Refers calls and/or takes messages bringing appropriate items to the attention of the Senior Executive. 4. Maintains contact database 5. Deals discretely with sensitive, confidential information concerning performance of staff, hospital affairs, and information contained in minutes, letters and other documents. 6. Schedules appointments and maintains calendar to facilitate planning of schedules. 7. Schedules rooms for meetings and handles any special arrangements. 8. Makes travel arrangements to and from meeting locations. 9. Maintain department time sheets 10. Reviews and sorts external, interoffice and electronic mail to facilitate timely distribution to Senior Executive and/or appropriate senior management. 11. Responds to correspondence on own initiative when appropriate. Appropriately responds to all callers and refers accordingly. 12. Works with senior management to follow-up on pending projects on behalf of the Senior Executive. 13. Gathers information, investigates issues related to the resolution of issues, and ensure that assigned duties are effectively completed Assist in the management of payroll and time sheets Minimum Qualifications 1. a. High School Diploma or equivalent, and four years of clerical experience including two years as a stenographic secretary; or, b. A Baccalaureate Degree from an accredited college or university and one year of experience as a stenographic secretary; or, c. An Associate Degree with specialization in Secretarial Science and three years of clerical experience, one year of which shall have been as a stenographic secretary. 2. The ability to take dictation accurately, rapidly and to transcribe. Ability to exercise discretion and diplomacy in all internal and external contact relationships and to exercise initiative in the preparation of routine correspondence, in handling administrative details and to maintain confidentiality of all executive and Corporate matters. 3.
